The Athletics Department Administrator is responsible for providing administrative support to the department as a whole, but primarily the Associate VP for Athletics and Athletics Advancement. This position is also responsible for managing departmental projects related to Athletics and Recreation that are administrative in design, managing relationships with a variety of campus services for the betterment of student-athletes, and providing general administrative support acting as office manager and key support staff for the Department of Athletics and Recreation.
WHAT YOU WILL DO
Provides all administrative support to the Associate VP for Athletics & Athletics Advancement. Maintains calendar, schedules appointments, routes phone calls and email messages, and manages all facets of travel. Develops presentation materials for internal and external distribution and meetings.
Assists Associate Director of Athletics, Internal Operations with departmental, conference, and NCAA clerical matters including but not limited to record keeping, data entry, and documentation (e.g., upkeep of department manual, student-athlete handbook, on-boarding checklist, etc.).
Responsible for serving as office manager which includes: sorting mail; answering telephones; ordering office supplies; contacting campus representatives for computer, telephone, or photocopier service; ordering food and beverage service for meetings or events; and data entry.
Serves as the primary point of contact for the office. Greets guests and directs appropriately. Serves as Athletics central communication coordinator, maintaining calendars and travel schedules as needed.
Serves on committees at the AVP’s request.
Provides a key role in the athletics fundraising process. Supports the AVP’s fundraising efforts by scheduling meetings with prospects, arranging travel, outreaching to donors, and supporting special projects as needed. Manages relationship with the College’s Development Office in relation to the tracking of Athletics’ gifts, including but not limited to gift giving, stewardship, event attendance, etc. Runs and submits reports to the Salesforce fundraising system and maintains an active understanding of current fundraising initiatives.
Reviews and12 improves processes for efficiency, including utilizing technology to streamline and update existing processes.
Assists in the management and conduct of special events (e.g., Fall parent brunch, Senior banquet and NCAA Championships, when hosting).
Assume additional responsibilities as required.

WHAT EDUCATION AND SKILLS YOU WILL NEED
Associate’s Degree in associated field.
At least 2-3 years of related experience.
Must have excellent typing, editing, and proofreading skills.
Strong organizational, interpersonal, and communication skills, and must be able to maintain a high degree of confidentiality at all times.
Must have strong knowledge of MS Office (Word, Excel, SharePoint, PowerPoint, etc.).
Ability to effectively interface with alumni, students, faculty, staff, and visitors.
Ability to contribute to a culture of inclusion and belongingness for all staff members, student-athletes, visitors, and stakeholders of the department.
Envisions and proposes new methods to perform tasks that support ET&A; takes thoughtful risks; and accepts new and ongoing initiatives, objectives, and solutions to gain sought-after results.

HOW AND WHERE YOU WILL WORK
Some nights and weekends are required.
This position will primarily work on campus with some flexibility for remote work at the manager’s discretion.
ADDITIONAL SKILLS YOU MAY HAVE
Bachelor’s Degree strongly preferred.
Knowledge and utilization of Salesforce and ARMS software a plus.
Experience with AI platforms a plus.
This is a non-exempt position with the following pay range: $29.34-$32.60 the role is also eligible for bonuses based on performance and budget.
