We are hiring a SHOP ADMINISTRATIVE ASSISTANT for our maintenance team in Winnipeg!

We are looking for an organized and self-motivated individual to work in a full time administrative role.

Job Duties:

  • Provide full administrative support to the workshop;
  • Issue job lists to workshop/compound employees;
  • Ensure completed units are available for collection/ delivery;
  • Provide administrative support to the Purchasing /Stores Department;
  • Ensure integrity of data in the company vehicle logistics system and setting up new tasks;
  • Responsible for processing all vehicle repairs and ensuring efficient follow up on outstanding tasks
  • Maintain office storage and filing system;
  • Ordering stationary;
  • Support senior management with a variety of duties;

  • Manage visitor arrivals at the office, including handover to the relevant contact;

  • Fulfill other duties as required by management and other department personnel, often involving prioritization of tasks at short notice;

  • Assist Maintenance Supervisor with telephone calls and crew schedules;

  • Schedule travel and accommodation as instructed by Maintenance Supervisor;

  • Create purchase orders when required;

  • Utilizing IFS system. Data entry and time sheets;

  • Complete data entry;

  • Ensure time and billing tasks are entered on time and accurately, including contracts, bonus tracking, reports, payroll, invoices and DTRs;

    Qualifications:
  • A minimum of 1 year of related experience

  • Ability to maintain an organized, clean, and safe work environment.

  • Organizational and time management skills.
  • Ability to operate with little supervision.
  • Strong knowledge of computer programs and systems.
  • Strong attention to detail. Always come up with ideas for improvements.
  • Excellent verbal and written communication skills, with the ability to express ideas clearly and effectively in individual and group situations.
