Job Description
We are looking for an New and Used Car Sales Preparation Manager to oversee and execute our inventory and reconditioning operation—from trade-in or purchase through front-line ready, and from new car arrival through stocked and delivery-ready. The position requires strong organizational skills, effective time management, and a self-starter attitude
Used Inventory & Reconditioning Workflow• Manage and monitor used vehicle inventory to maintain accurate records and timely reconditioning
• Coordinate each used vehicle through the full reconditioning process: intake, mechanical inspection, repairs, detail, cosmetic restoration, and front-line readiness
• Prioritize repairs and direct workflow so trade-ins and used car purchases reach front-line ready as quickly as possible
Used Vehicle Appraisal & Intake Support• Support the appraisal, purchase, and processing of used vehicles
• Coordinate inbound vehicle inspections and route units into the reconditioning pipeline immediately upon intake
• Ensure intake documentation, keys, and condition reports are complete and accurate before work begins
New Vehicle PDI & Delivery Support• Manage the PDI process for new vehicle deliveries from Subaru
• Stock in all units into inventory accurately and on time; confirm receipt of required shipping documents and accessories
• Coordinate with Service to schedule PDIs so new units are sale-ready as soon as possible after arrival
Photography Management• Oversight and coordination with third-party photography vendor to ensure timely vehicle photographs
Cross Departmental Coordination• Collaborate with Sales and Service to ensure smooth vehicle flow through the reconditioning process
• Communicate vehicle status proactively so sales managers always know what is front-line ready and what is coming
What We’re Looking For• Highly organized with strong attention to detail
• Effective communicator
• Comfortable holding people to a standard and following up until the job is done right
• Comfortable with technology, spreadsheets, and DMS software
• Professional appearance and demeanor
Requirements:• 2–5+ years’ experience in automotive (dealership reconditioning, service, parts, sales, or operations)
• High school diploma or equivalent
• Valid driver’s license
• Ability to walk the lot, move between buildings, and be on your feet throughout the day
Compensation & Benefits• Competitive hourly base – $21.00/hr++
