Job Description
The Loan Operations Specialist-Administrator plays a key role within the Loan Support Team by coordinating the ordering, tracking, review, and delivery of credit reports, lien searches, title work, UCC searches, flood determinations, and other due diligence items required to support commercial and consumer loan activity. This position serves as a liaison between lenders, loan operations staff, third-party vendors, and customers to ensure required searches and reports are obtained accurately and timely.
In addition to managing due diligence requests, the Loan Operations Specialist-Administrator provides operational support for the Lending and Loan Administration Departments through loan file maintenance, customer service, record management, and various loan support activities. The ideal candidate is highly organized, detail-oriented, and committed to providing exceptional internal and external customer service.
Essential Duties & Responsibilities:
• Respond to inquiries and support requests from customers and bank personnel.
• Answer incoming customer calls directed to Loan Administration and provide appropriate assistance or routing.
• Receive, review, and file loan documents and related materials received from off-site locations.
• Process incoming and returned mail in a timely and accurate manner.
• Maintain insurance and collateral records within the Bank's core system and ensure information is updated accurately and promptly.
• Assist with flood insurance review processes.
• Assist with real estate tax monitoring activities.
• Prepare loan payoff letters and process loan advance requests.
• Support paid loan processing and the archiving of paid loan files.
• Maintain organized loan files and support departmental recordkeeping requirements.
• Provide administrative and operational support to the Loan Administration team as needed.
• Perform other related duties as assigned.
Administrator Responsibilities:
• Order, track, and distribute credit reports, lien searches, title reports, UCC searches, flood determinations, and other due diligence items required for loan requests.
• Monitor outstanding search and credit requests to ensure timely receipt and completion.
• Review reports and searches for completeness and forward results to appropriate lending personnel.
• Follow up with vendors regarding delayed, incomplete, or inaccurate reports.
• Maintain accurate tracking logs and documentation related to due diligence requests.
• Research and resolve issues related to search requests, credit reports, and vendor documentation.
Qualifications Required:
To perform this job successfully, an individual must be able to satisfactorily perform each essential duty. The requirements listed below are representative of the knowledge, skills, and abilities required:
• Strong understanding of loan due diligence requirements, including credit reports, title work, lien searches, UCC searches, and related loan support functions.
• Ability to manage multiple requests and deadlines while maintaining a high degree of accuracy.
• Excellent organizational, prioritization, and time management skills.
• Strong attention to detail and commitment to quality.
• Effective written and verbal communication skills.
• Strong customer service and relationship management abilities.
• Ability to research, identify, and resolve discrepancies or missing information.
• Professional demeanor and ability to collaborate effectively with customers, lenders, attorneys, vendors, and colleagues.
• Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
• Ability to learn and utilize Bank systems and third-party vendor platforms.
• Commitment to maintaining confidentiality and data integrity.
Education and Experience:
• High school diploma or equivalent required.
• Associate's degree in Business, Finance, Accounting, or a related field preferred.
• One to three years of experience in commercial banking, loan operations, loan administration, loan processing, credit administration, or a related financial services environment preferred.
• Experience working with credit reports, title companies, search vendors, collateral documentation, or loan due diligence processes preferred.
