About the role
- The Operations Lead will lead, guide, and coordinate with TMLF Oklahoma foreclosure staff following standardized practices and/or methods of the Foreclosure Department; with specific responsibility for performing activities related to the accurate processing of judicial foreclosures; and providing instructions and/or foreclosure support to other personnel in accordance with established practices. This job will have supervisory responsibilities.
What you'll do
- Assist with daily foreclosure processing across multiple states.
- Retrieve and manage executed documents from client portals; generate and prepare documents for recording.
- Maintain and update tracking pages to reflect accurate and current foreclosure statuses.
- Monitor case progress to ensure adherence to key deadlines.
- Maintain accurate and comprehensive documentation within the case management system.
- Ensure compliance with investor, client, and legal requirements.
- First point of contact and escalation as team leader.
- Inventory reconciliation to identify exceptions in milestones, status or other gaps needed to be addressed.
- Stay current on state statutes for non-judicial foreclosure processes and act as a subject matter expert, representing the business in client audits and firm-wide initiatives.
- Continuously look for opportunities to enhance operational efficiency, implement automation, and improve communication with clients. Seek innovative ways to provide better service and deliver superior results.
- Assist with developing and maintaining detailed, documented procedures to identify and mitigate high-risk errors, safeguarding compliance and minimizing risks.
- Review checklists to confirm accuracy prior to milestones and foreclosure auction.
- Draft, review and execute documents related to non-judicial foreclosure.
- Update cases upon transfers completed; servicer, investor and/or law firm.
- Become subject matter expert on timeline and other client expectations.
- Other duties as assigned.
Qualifications
- High school diploma or GED required.
- Minimum of 3 years of experience in foreclosure or mortgage‑servicing operations.
- Strong verbal and written communication skills, with the ability to clearly convey information to clients, colleagues, and leadership.
- Demonstrated customer‑service skills, including professionalism, responsiveness, and the ability to resolve inquiries effectively.
- Excellent organizational and time‑management abilities, with a proven ability to manage competing priorities and meet deadlines.
- High attention to detail and accuracy, especially when reviewing documents and updating case information.
- Strong problem‑solving and critical‑thinking skills, with the ability to assess complex situations and determine effective solutions.
- Proficiency in Microsoft Word, Adobe Acrobat, Internet Explorer, and Microsoft Access, with the ability to learn additional technology platforms as required.
- Ability to work independently and collaboratively within a fast‑paced, deadline‑driven environment.
- Adaptability to changing client expectations, internal processes, and industry requirements.
