We are seeking an exceptional, highly experienced Senior Executive Assistant to serve as a dedicated strategic partner to the SVP, People and CMO, and to help build and provide strategic direction for our growing EA function as the company scales. This is not a role for someone learning the craft. We are looking for someone who has operated at the highest levels of executive support, who leads with presence and discretion, and who brings a rare combination of operational excellence, people leadership, and an instinctive, AI-native way of working.
In addition to providing world-class direct support to an executive, this person will help establish the operational rhythm, standards, and team culture for Function Health's EA function - mentoring other EAs, building shared practices, and serving as a model for what great looks like at this company.
The ideal candidate is a self-starter who thrives in ambiguity, is meticulous in their attention to detail, and commands respect across every layer of an organization - with Board members, investors, Chiefs of Staff, and frontline team members alike. They bring an executive presence that mirrors the leaders they support, an unshakeable composure under pressure, and a deep understanding of what it takes to run the office of a fast-moving CEO or C-suite executive.
This role requires availability during West Coast (PT) business hours; candidates must be based in a PT time zone or fully committed to operating their professional schedule on PT hours. The needs and expectations of this role may frequently require hours outside of the standard 9 am - 5 pm. Please note, given the pace and demands of supporting senior executives, this role will periodically require flexibility beyond traditional business hours. The ideal Senior Executive Assistant is proactive, adaptable, and takes ownership of delivering exceptional support; remaining engaged until priorities are resolved and the work is complete.
- Manage calendar, schedules, and travel
- Own and manage an exceptionally complex, high-demand calendar - balancing internal commitments, external meetings, Board touchpoints, and personal priorities across time zones. Anticipate conflicts before they happen and resolve them without escalation.
- Coordinate with internal teams and external partners on scheduling, priorities, and logistics.
- Arrange all travel logistics, including flights, hotels, ground transport, and itineraries - preparing necessary documents for business trips and meetings.
- Handle communication with cross-functional teams and external partners
- Handle correspondence on behalf of the executive, including emails and communications; drafting with an accurate voice and appropriate tone.
- Act as liaison between your executive and other executives, Board members, investors, and external partners; representing your principal appropriately
- Prepare briefing materials, agendas, and pre-reads for key meetings. Capture decisions and action items and ensure follow-through happens.
- Develop Function Health's EA team
- Serve as the senior member of the EA function - establishing standards, best practices, and the operational rhythm that guides how the team works.
- Mentor and manage junior EAs, providing day-to-day guidance, coaching on craft, and support navigating the demands of high-growth executive support.
- Collaborate closely with Chiefs of Staff to align on priorities, coverage models, and how the EA and CoS functions work together effectively.
- Support hiring, onboarding, and ongoing development of new EAs as the function grows.
- Support administrative tasks
- Partner with leadership and Chiefs of Staff to prepare reports, presentations, and other documents.
- Manage and maintain records, files, and operational documentation.
- Process and reconcile expenses accurately and on time. Liaise with Finance as needed.
- Build broader Function Health culture & EA craft
- Support the planning and execution of team offsites, all-hands events, and company gatherings.
- Champion an AI-native operating culture across the EA team - modeling and scaling the use of AI tools to improve speed, quality, and capacity across the function.
- 10+ years of executive assistant experience, with a significant portion dedicated to direct CEO or C-suite support in a high-growth startup or technology environment - you have seen every version of fast, chaotic, and high-stakes - you have performed exceptionally and with near-perfect accuracy.
- Proven Lead EA experience - you have managed, mentored, or built teams of EAs before, and you understand the difference between being a great individual contributor and being a force multiplier for an entire function.
- Highly proactive - You anticipate needs before they arise and provide forward-looking updates and recommendations to keep priorities aligned and execution running smoothly.
- AI native - you don't just use AI tools when prompted; they are genuinely woven into how you work every day. You actively use tools like ChatGPT, Claude, Gemini, and Notion AI to draft, summarize, research, and coordinate faster, and you know how to help others build these habits too.
- Executive presence - you carry yourself with the confidence, poise, and credibility of the leaders you support. You are comfortable in any room, with any audience, and you represent your principal impeccably in every interaction.
- Excellent under pressure - you are the calmest person in the room when things are moving fast or going sideways. You make clear decisions, communicate with clarity, and don't rattle.
- Thrives in a high-growth, fast-paced environment - priorities and processes evolve rapidly, you should demonstrate exceptional adaptability and an ability to execute last-minute changes with precision, accuracy, speed, and professionalism while maintaining a high standard of quality and judgment.
- West Coast (PT) availability required - you are based in a PT time zone, or you are fully committed to aligning your professional schedule to PT business hours without exception.
- Exceptional organizational skills with the proven ability to manage competing priorities across multiple timelines without losing anything.
- High emotional intelligence and discretion - handling sensitive, confidential, and consequential information is second nature; you do not have to think about it.
- Strong written and verbal communication skills; your correspondence reflects the standard of the executive you support.
- Deep proficiency in Google Workspace and other key tools (Calendar, Gmail, Drive, Slack, Zoom) and a genuine curiosity about new tools.
- Experience supporting Board-level engagement, investor communications, and external-facing executive functions.
- Experience in health tech, biotech, or a mission-driven consumer company.
- Experience standing up or rebuilding an EA function from scratch in a scaling organization.
