Job Description

We're looking for a detail-oriented, client-focused TPA Administration Assistant to support the administration of qualified retirement plans while delivering an exceptional client experience.

This position is ideal for someone who enjoys analytical work, thrives in a deadline-driven environment, and wants to build a career in retirement plan administration and compliance. You'll work alongside experienced retirement plan professionals while gaining valuable knowledge of IRS requirements, and 401(k) plan administration.

ESSENTIAL JOB DUTIES & RESPONSIBILITIES

  • Ensure client database is updated
  • Basic client communication and inquiries (general plan operations, eligibility enrollment)
  • Documents all plan transactions during the year (loans, distributions, rollovers)
  • Recognize and escalate advanced plan issues (corrections, control group, RMD)
  • Perform annual review process for small pipeline of first year clients:
    • Request and review all data, inquire about changes or potential issues from data provided
    • Prepare plan financials and 5500 with all schedules
    • Determine eligible employees based on census and plan document eligibility parameters
    • Prepare and send work product
    • Invite clients to sign 5500 and follow up as needed
  • Organize client files on server as needed
  • Other Projects as Needed
  • Communicate additional billing for services outside of what is included in the annual fee
  • Assist Plan Admin Level I and II employees as needed

REQUIREMENTS

  • High school diploma or equivalent
  • 3+ years of experience in the financial services industry
  • Strong data entry and typing skills
  • Intermediate to advanced Microsoft Excel skills
  • Proficiency with Microsoft Office Suite
  • Strong analytical, mathematical, and problem-solving abilities
  • Excellent organizational skills and attention to detail
  • Ability to manage multiple priorities while meeting deadlines
  • Excellent customer service and communication skills
  • Positive attitude with a collaborative, team-oriented approach
  • Ability to work additional hours during peak processing periods
  • CRM experience (Salesforce preferred)
  • Retirement Plan industry experience a plus
