Reports To: Construction Manager
We are looking for a highly organized and proactive Roofing Scheduling Administrator to help coordinate our growing roofing operations.
This position plays an important role in keeping projects, crews, materials, and schedules aligned. You will work closely with construction management, project managers, field teams, subcontractors, and other departments to make sure everyone has accurate information and projects stay on track.
Bilingual English/Spanish candidates are strongly preferred due to the amount of communication with our field workforce.
What You'll DoDevelop, maintain, and update roofing project schedules using Smartsheet and other company systems.
Coordinate scheduling with Construction Managers, Project Managers, Superintendents, field crews, and subcontractors.
Help coordinate labor, materials, equipment, and other resources needed for scheduled projects.
Monitor project progress and adjust schedules as conditions change.
Communicate schedule updates, delays, changes, and priorities to appropriate team members.
Identify scheduling conflicts and work with management to resolve them.
Account for weather, material availability, customer requirements, and field conditions when coordinating schedules.
Maintain accurate project and scheduling records.
Track deadlines, project milestones, and outstanding action items.
Generate reports related to project status, scheduling, and resource utilization.
Assist with improving scheduling processes and workflow efficiency.
Provide support and guidance to team members using Smartsheet and scheduling systems.
Communicate professionally with internal teams, contractors, vendors, and customers.
Perform other administrative and operational duties as assigned.
Previous experience in scheduling, construction administration, project coordination, dispatching, or a similar role.
Roofing or construction industry experience is strongly preferred.
Bilingual English/Spanish preferred.
Experience with Smartsheet is preferred; experience with similar scheduling or project management software will also be considered.
Strong computer skills, including Microsoft Office.
Excellent organization and attention to detail.
Ability to manage multiple projects and changing priorities at the same time.
Strong written and verbal communication skills.
Comfortable communicating with both office and field employees.
Strong problem-solving and follow-up skills.
Ability to work independently while also functioning as part of a fast-paced team.
Dependable, proactive, and able to anticipate scheduling needs.
High school diploma or equivalent required.
