Job Summary: Supports the General Accounting Office and Service & Parts departments in a variety of tasks to ensure the smooth day-to-day operations of Teton Auto Group. This role is responsible for processing vehicle sales, maintaining accurate financial records, handling warranty claims, and assisting with customer service-related tasks. The position requires a highly organized, detail-oriented, and team-focused individual capable of multi-tasking across accounting, warranty, and dealership operations
Schedule: Tuesday - Saturday, 9am - 6pm
Requirements:Responsibilities:
General Accounting & Financial Support
- Use best accounting practices to ensure accurate financial data is recorded in the general ledger and reported to owners and management.
- Post invoices for Parts, Service, Detail/Accessories, Gas, and New/Used vehicles.
- Assist with accounts payable (vendor statements, check disbursement, and filing) and accounts receivable (billing, collections, and reconciliation).
- Balance petty cash and company credit cards on a regular basis.
- Assist in scanning and filing accounting documents to maintain a clean and organized workspace.
- Assist with monthly and daily reconciliations, including bank deposits and cash reports.
Vehicle Sales & Deal Processing
- Finalize car deals: review deals for accuracy, post accounting entries, send payoff checks for trade-ins, and process dealer flooring payoffs.
- Breakdown deals for bank funding, submit contracts to banks, and distribute title and warranty paperwork.
- Calculate commissions for salespeople and update sales boards daily.
- Process dealer trades, wholesale transactions, and auctions, including title reassignment.
- Input new loans in Auto Masters and ensure all stipulations are verified.
- Assist with purchasing and stocking new and used vehicles and posting purchase orders in CDK/ADP.
- Assist in service checkout by compiling invoices and balancing daily cash.
Warranty & Service Department Support
- Process manufacturer, pre-delivery, transportation, and third-party warranty claims, ensuring timely submission and monitoring until payment.
- Maintain accurate records of claims, monitor for patterns, and provide data for ongoing technician and advisor training.
- Reconcile and submit warranty schedules (VSA, PPM, GAP, P&F, T&W, EWU) and investigate billing discrepancies.
- Assist Parts & Service departments and liaise with manufacturers for claim resolution.
- Post paid warranty reports to accounting weekly.
- Provide customer service support as needed, including answering calls, scheduling appointments, and cashiering coverage.
Customer Service & Administrative Duties
- Answer incoming phone calls on multi-line phone systems using professional phone etiquette (MAGIC techniques).
- Distribute mail and perform general office organization tasks.
- Perform other duties as assigned by the Office Manager, including ad hoc reporting, scanning, and filing.
Skills Required:
- Basic mathematics and general accounting knowledge; experience with financial statements preferred.
- Proficiency in Microsoft Office (Word, Excel) and CDK/Auto Masters systems
- Highly organized, detail-oriented, and able to manage multiple priorities simultaneously.
- Strong communication and customer service skills, both verbal and written.
- Positive attitude, self-motivated, and able to work independently with minimal supervision.
- Team player with a professional appearance and excellent interpersonal skills.
- Clean driving record and valid driver’s license.
- College degree or 1–2 years of office/accounting experience preferred
