Job Summary

The Program Manager, All Stars Project of New York (ASP of NY) is a key role that serves as a key producer of Youth Programs and events, requiring strong production and operational management skills to coordinate multiple projects simultaneously, manage logistics from planning through execution, proactively identify needs, anticipate challenges, organize volunteers and youth participation, and ensure high-quality program delivery. The manager is responsible for the day-to-day driving and execution of youth programs, including but not limited to the Development School for Youth (DSY), DSY summer internships, outreach, performance events and programming, and police-community relations programs. This position is responsible for managing community contacts, setting up youth outreach, recruitment, and organizing youth participation at ASP events. The Manager will also lead workshops, interviews, and other program activities. In addition, this position partners with other ASP team members on communications, event production, and cultivation.

Success in this role requires someone who enjoys producing experiences that connect people and who is able to build developmental relationships with youth, volunteers, and business partners while translating organizational goals into high-quality programming. Critical to the success of this role is the manager’s ability to lead while utilizing our performance-based methodology for development.

The position is a hybrid role with an emphasis on in-person attendance in the ASP New York regional office and the ability to have a flexible schedule, including some evenings and weekends to support programs, workshops, and outreach.

Key Responsibilities

Program and Outreach Management

  • Develop expertise in and lead the advancement of ASP’s performance-based approach to human development.
  • Manage the maintenance of the databases for tracking program attendance and requirements.
  • Manage ASP’s youth programs admissions process, including the production of student interviews and maintenance of accurate information in the database.
  • Develop comprehensive production plans for programming, including timelines, staffing plans, run-of-show documents, room layouts, volunteer assignments, materials, technology needs, contingency planning, and day-of execution.
  • Lead the production of program events from conception through execution, proactively identify operational needs, coordinating internal and external stakeholders, making timely decisions, and ensuring high-quality outcomes while partnering with the Director of Youth Programs.
  • Lead and participate in performance workshops and activities with large groups of young people, including, but not limited to, improv activities.
  • Organize youth outreach and volunteer/donor acquisition through community organizing activities such as summer “street outreach/performance”.
  • Drive, manage and track youth recruitment (outreach, confirmation calls, interviews).
  • Recruit, organize, onboard, and direct volunteers, alumni, and staff to support outreach, workshops, productions, and special events, ensuring clear expectations, accountability, and follow-through.
  • Coordinate operational logistics with internal departments and external venues to ensure program spaces, staffing, technology, and materials are prepared for successful execution.
  • Run and manage program and event budgets.
  • Manage multiple projects simultaneously while balancing competing priorities and adapting effectively to changing organizational needs while maintaining momentum.

Event and Activity Producing

  • Manage creation, design, and printing of program materials.
  • Lead all production and operational aspects of program events from planning through post-event evaluation, ensuring high level planning in logistics, communication, execution, and participant experience.
  • Manage the recruitment of youth and development of youth statements for various ASP events and functions.
  • Assist in internship campaign, relating to corporate partners to secure placements, coordinate onboarding, and set up site visits.
  • Partner with various business supporters, youth groups and volunteers to perform as speakers at various ASP events and facilitators at workshops
  • Anticipate operational challenges, develop strategic plans, and address issues as they arise in collaboration with the Director of Youth Programs

Administrative Duties

  • Manage multiple, varied production aspects of ASP of NY programs and events, including but not limited to database information management, pre-event production administration, post-production reporting and tracking, etc.
  • Manage data input relating to program and workshop events, including inputting in Airtable or other databases, calendars, and other reporting systems.
  • Create and disseminate written, verbal, and scripted communication with various constituents, including program participants, program associates, volunteers, and business partners.
  • Build meaningful, developmental relationships with young people by serving as a consistent point of contact, fostering trust, accountability, developmental opportunities, engagement, and continued participation throughout the program cycle.
  • Respond to other requests of the Director of Youth Programs.

Management & Supervision

  • Hire, direct, and supervise direct reports by providing leadership, clear expectation setting, regular coaching, conducting performance reviews, creating onboarding and development plans, provide regular feedback, holding staff accountable for results, and supporting continuous professional growth.
  • Recruit, organize, and lead volunteers, DSY alumni, and staff participating in community outreach, workshops, phone shifts, talent shows, and special events, ensuring individuals understand their roles and contribute toward shared program goals.

Qualifications

  • 5+ years of relevant experience in youth development, education, nonprofit programming, community organizing, or a related field.
  • Demonstrated experience producing and managing large-scale events, workshops, trainings, or community programs from planning through execution.
  • Proven ability to independently manage multiple projects, exercise sound judgment, prioritize competing demands, and execute work with minimal supervision.
  • Experience supervising staff, volunteers, interns, or community members and leading teams toward shared goals.
  • Strong project management, operational planning, and event production skills with exceptional attention to detail.
  • Excellent written and verbal communication skills, with the ability to build authentic relationships with youth, volunteers, business partners, and community stakeholders.
  • Understanding of poverty-related issues and a demonstrated commitment to creating developmental opportunities for youth from underserved communities.
  • Highly collaborative, adaptable, and proactive, with the ability to translate feedback into action and thrive in a fast-paced environment.
  • Strong administrative and technology skills, including Microsoft Office; experience with Airtable, Zoom, Microsoft Teams, or similar platforms preferred.
  • Flexibility to work evenings and weekends as required for workshops, events, and other program activities.
  • Performance background or a strong relationship to performance as a tool for development is a plus.
  • Fluency in Spanish is a plus.
  • Ability to carry or move objects up to 15 pounds to set up for meetings, events, workshops, etc.
  • Bachelor's degree or equivalent experience preferred.
