Job Description

POSITION SUMMARY:

The Patient Access Manager is responsible for the strategic oversight and daily operations of all patient access functions including , Main and Outpatient registration ,switchboard staff and all practice patient registration, scheduling and insurance verification. The patient Access Manager will collaborate with revenue cycle team, IT, and Directors to streamline access workflows, support strategic initiatives and ensure alignment with organizational goals.

DEPARTMENT SCOPE OF SERVICE:

The Patient Access Department is responsible for patient access operations including patient registration, insurance verification, office scheduling, point of service collections and efficient operation of the hospital’s switchboard. Patient Access is central to the he organizations rev cylce team, coordinating critical activities with hospital’s billing department and all practices front desk staff. The manager ensures timely and accurate processing of all patient information, enhances the patient experience and supports the hospital revenue cycle goals. The manager leads a team of front line staff across multiple locations. They own and analyze KPIs such as registration accuracy, point of service collections, and monitor for continuous process improvements based on data insights.

KEY FUNTIONS:

  • Supports and assists the Director of Rev Cycle in achieving excellence in healthcare by successfully developing and implementing strategic and operational departmental goals in the following areas: Leadership & Planning, Recruitment & Retention, Staffing, Budget, Quality & Performance Improvement, Team Building and Effective Communication.
  • Provides leadership and strategic direction for all Patient Access operations including inpatient and outpatient registration.
  • Work with Team to ensure that all necessary coverage is maintained for coverage of switchboard and registration,
  • Supervise, coach and develop a team of front-line personnel
  • Ensures compliance with all applicable regulations. Collaborate with IT, clinical departments and revenue cycle to resolve issues and drive organizational goals.
  • Helps team identify and correct errors in registrations.
  • Demonstrates high level of proficiency in word processing, database management and computer software.
  • Completes Incident Reports and communicates with staff involved.
  • Ensures payroll is complete and inputs schedules.
  • Provides support on testing upgrades with Director and IT Staff, works with IT staff on new projects to resolve system issues.
  • Attends meetings for new programs and requirements for meaningful use.
  • Conducts regular staff meetings to communicate information effectively with staff and to encourage staff to discuss ideas and problems.
  • Collaborates with all areas within the organization for problem resolution and specific strategic initiatives
  • Creates a comprehensive training program for all new staff To ensure all workflows make sense to the organizational needs.
  • Ensures all staff are competent in their functions and receive timely notification and education to system and regulatory changes.
  • Assures that the department operates within established policies, procedures and regulatory guidelines
  • Understands the role of the hospital compliance officer and ensures that staff are aware of their role in overall compliance
  • identifies and brings appropriate issues to the attention of department supervisor and/or director as well as compliance committee, as appropriate.
  • Ensures that all staff understand the criticality of federal HIPAA regulations
  • Ensures that staff understand patient rights and Advance Directives.
  • Other duties as assigned.

EDUCATION:

  • Associates Degree or equivalent.

EXPERIENCE/SKILL SETS:

  • Strong background and experience managing diverse employee populations & problem solving.
