Position Description

The Accounts Receivable (AR) Manager leads Somafina’s billing, collections, and cash application functions, ensuring that customer invoicing is accurate and timely; receivables are collected on schedule, and AR records are reliable for financial reporting. Reporting to the Controller, this position partners closely with Sales, Operations, and Customer Service, and owns the processes and controls that connect product shipments to billing and revenue recognition.

The ideal candidate brings AR leadership experience in a manufacturing environment and understands how shipments and customer terms drive billing and cash flow.

Essential Responsibilities

Billing & Revenue

  • Oversees the preparation and posting of customer invoices, ensuring billing is accurate, complete, and issued on schedule.
  • Ensures that every shipment is invoiced by matching shipping documents, sales orders, and invoices, and resolves unbilled or mismatched items.
  • Manages billing for customer deposits and other contract-manufacturing terms.
  • Supports accurate revenue recognition by confirming shipments and billing cutoffs at month-end.

Collections & Credit

  • Manages collections, reviewing the AR aging regularly and reporting collection status, risks, and trends to the Controller.
  • Monitors customer accounts against approved limits.
  • Resolves customer disputes, short payments, deductions, and chargebacks with Sales, Operations, and Customer Service.
  • Recommends bad debt reserves and write-offs for approval.

Cash Application & Reconciliation

  • Oversees cash application (ACH, wires, checks, credit card) and resolves unapplied cash promptly.
  • Reconciles the AR subledger to the general ledger and deposits to bank activity and prepares AR month-end close entries and schedules.

Reporting, Process & Compliance

  • Prepares AR reports and metrics, including aging, DSO, collections forecasts, and cash-flow projections.
  • Supports the annual audit by preparing AR confirmations, schedules, and documentation.
  • Maintains AR policies, SOPs, and internal controls, and drives process improvements.

Additional Responsibilities

  • Adheres strictly to company policies and procedures.
  • Performs other duties as assigned.

Education Requirements

  • Bachelor’s degree in accounting, finance, or related field; or equivalent combination of education and experience.
  • 3+ years of accounts receivable, billing, or credit and collections experience, including at least 2 years in a supervisory or lead role.
  • Manufacturing industry experience is strongly preferred; contract manufacturing or dietary supplement / food industry experience is a plus.

Competencies / Skill Qualifications

  • Strong knowledge of AR, credit and collections, cash application, and month-end close processes, with a working understanding of GAAP revenue recognition.
  • Understanding manufacturing billing practices, including shipment-based invoicing, customer deposits, and deductions and chargebacks.
  • Experience with QuickBooks and an ERP system; Fishbowl experience is a plus.
  • Advanced Excel skills, including PivotTables, lookups, and reconciliations.
  • Strong communication and negotiation skills, including difficult customer conversations.
  • Strong attention to detail and organizational skills, with the ability to meet deadlines in a fast-paced environment.
  • English proficiency required.
