Job Overview:
The Site Administrator at an RWJBH Facility provides administrative support to Acute Care Service Programs Department Chairs and/or Program Directors and its staff. This position serves as the first point of contact for staff seeking updates or assistance, while also supporting the department chair or program director with recurring meeting agendas, summaries and day-to-day operational needs.
Qualifications:
Required:
- High School Diploma or Equivalent
- Able to work relatively independently with limited direct supervision
- Detail oriented with proven ability to work effectively under conditions requiring accuracy
- Courteous and professional demeanor with strong interpersonal and verbal and written communication skills
- Excellent grammar, editing and proofreading skills
- Internet and Computer proficiency with Microsoft Office products email, Microsoft Calendar, Word, Excel, and PowerPoint
- Appointment setting initial phone call and Calendar invite with copy to medical director and director of Hospitalist programs
Preferred:
- College Degree
Essential Functions:
Responsible for administrative services supporting the ED program at CMC and Physician Advisor Program
Programmatic Support
- Provides onboarding activities and orientation support to medical director for all new professional staff, new hire ordering, system access requests for EMR and billing and liaison for HR, CVO and payor onboarding needs
- Assists in the staffing schedule of professional providers and submits changes to on-call schedule
- Checks fax and email for lab results, delivers to professional staff and carries out instructions
- Coordinates all meeting logistics to include but not limited to AV, event planning, food, supplies, clean-up, and facilities
- Communicates and responds to emails, telephones call, faxes, mail, meeting notifications
- Reviews legacy processes and identifies best practices to review with supervisor
Provides administrative support to the designated Emergency Department Chair, which includes but is not limited to:
- Schedules and coordinates Chairs appointments with other staff providers, corporate office personnel, Hospital personnel, vendors and others as required
- Order Supplies for all teams
- Prepping agenda and assisting with meeting summaries as needed
- Management of distribution groups, rosters and supporting Chair in standardization of best administrative practices
Provides administrative support to the designated Physician Advisor Medical Director, which includes but is not limited to:
- Schedules and coordinates Medical Directors appointments with other staff providers, corporate office personnel, Hospital personnel, vendors and others as required,
- Order Supplies for all teams
- Prepping agenda and assisting with meeting summaries as needed
- Add PTO to ADP- payroll functions
- Management of distribution groups, rosters and supporting Director in standardization of best administrative practices
- Interface with Medical Students and Resident teams as needed
- Communicate with funeral homes when necessary, regarding completed/amended death certificates
- Maintain office binder
- Submit IT tickets
- Enter CAM s for Medical Directors (ED and Physician Advisors)
- Ad hoc projects, reports or tasks as determined by Leadership
- Maintain provider files for CME s and license renewals
Reporting
- Provides reports to the medical director on daily operational metrics
- Gathers, collects, monitors and tracks performance metrics of practice as directed by Chair or Director (core measures, etc.)
- Ad hoc MSO requests and reports
- Daily queries received from Medical Records
Secondary Duties and Responsibilities:
- Cross trained with Sub-Acute Site Administrator to cover vacations
- Work with Billing and Coding to ensure timely completion of charge entry during vacation coverage,
- Gather and report required metrics during vacation coverage,
- Cross trained with all HM Site Admins to cover vacations and any potential LOA s
- Ensure proper and timely completion of send backs
