Description:

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Administrative Support

•Assemble and distribute agendas and packets for meetings of Board of Directors, Foundation Board of Directors, committees of the boards, Leadership Team, Executive Team, Open Forum, and other meetings as needed.

•Records minutes of Board of Directors, Foundation Board of Directors, committees of the boards, Leadership Team, Direct Reports Team, Open Forum and other meetings as needed and distribute the minutes to the appropriate members when completed.

•Assist the President/CEO with letters, memos, monthly service cards, birthday cards for employees, clients, and other situations as requested.

•Responsible for maintaining corporate files of contracts and other corporate information.

•Responsible for maintaining corporate policy and procedure files.

•Shared responsible for maintaining, editing, and updating agency policies and manuals.

•Set-up of employee profiles, quality enhancement and auditing, as well as report creating in the client reporting and record keeping platform.

•Administrative responsibilities for the agency phone system, to include but not limited to set up, training, troubleshooting, modifications, etc.

•Supervisor Responsibility for the Front Desk Receptionists and Administrative Assistant at the Avenue B Facility.

•As needed support for Internal Events

•Leads the editing, uploading, and organizing of content within the employee portal.

•Serves as the lead contact for TECHwear orders, inventory, and communications.

•Serves as the lead contact for all TECH “Paper Family” ordering and inventory.

Gallery Coordination

•Manages day-to-day gallery operations, including maintaining appearance and providing excellent customer service, maintaining accurate records of inventory, sales and artist information.

•Leads in organizing and executing gallery events, such as openings, meet-and-greets, workshops, etc.

•Coordinates professional photos of all TECH art and artists with photographers.

•Is the point person for all community art display projects and display contracting.

•Manages the gallery’s contact database and mailing lists.

•Maintains and orders all supplies necessary for gallery operations.

•Regular and reliable worksite attendance

•Serves as a liaison between artists, purchasers, and the gallery, ensuing clear and effective communication.

•Coordinates artist submissions, contracts, and consignment agreements.

SUPERVISORY RESPONSIBILITIES

Manages the Front Desk Receptionists and the Administrative Assistant at the Avenue B Facility. Is responsible for the overall direction, coordination, evaluation, coaching, and development of these areas. Carries out supervisory responsibilities in accordance with the organization’s policies and applicable law. Responsibilities include, but are not limited to, hiring and training employees; planning, assigning, and directing work; appraising performance, rewarding, and discipling employees, addressing complaints, and resolving problems.

EDUCATION and/or EXPERIENCE

Required: Associate degree (A.A.) or equivalent from a two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.

Preferred: 1-year previous supervisory experience.

CERTIFICATES, LICENSES, REGISTRATIONS

Required: Valid Driver’s License. Maintains TECH, Inc. provided and required certifications, trainings, and licenses.
