The Role

We are looking for an organized, proactive, and detail-oriented Administrative & Logistics Coordinator. Working directly with the Senior Administrative Manager, you will be the "glue" that keeps our office, projects, and supply chain moving. Responsibilities

We are a lean, dynamic team where every role matters. You will provide comprehensive support to ensure the efficient and effective operation of the company through the following pillars:

Logistics & Supply Chain Management

  • Procurement Lifecycle: Generate, issue, and track purchase orders to ensure all project materials are ordered accurately and arrive on time.

  • Transportation Coordination: Manage end-to-end shipping, including domestic and international documentation, customs compliance, and resolving transit delays.

  • Vendor Liaison: Negotiate rates with freight forwarders and couriers, ensuring our logistics costs remain competitive and aligned with quotes.

Administrative & Office Operations

  • Executive Support: Assist the Senior Administrative Manager with bookkeeping, budget management, and external relations.

  • Front-of-House: Perform reception duties, greet guests, and manage the flow of information and office services to ensure top-tier customer service.

  • Culture & Events: Help plan and execute company functions, from town halls to team BBQs, fostering a vibrant startup culture.

Project Coordination & HR

  • Engineering Support: Act as a liaison between the project center and remote sites, ensuring engineering staff have the resources needed to meet strict timelines.

  • Human Resources: Support the review of company policies and procedures and coordinate HR activities as we scale our team.

  • Inventory Control: Manage physical resources and equipment, maintaining accurate inventory records to prevent project bottlenecks.

Bookkeeping

  • Financial Tracking: Update company expenses, create invoices, process employee expense reports, and prepare documentation for audits.

  • Reporting: Use statistical software to analyze operational data and interpret results, helping us make smarter, data-driven decisions.

Qualifications & Skills

  • Technical Proficiency: Advanced experience with Microsoft Office (specifically Excel) and an ability to interpret data.

  • Operational Excellence: Proven experience in administrative support. Experience in bookkeeping, procurement, or managing vendor relationships is a plus!

  • Logistics: Strong understanding of domestic and international shipping protocols, including customs documentation and freight coordination.

  • Project Coordination: Ability to manage timelines effectively, liaising between engineering teams, administrative teams, and external partners to ensure milestones are met.

  • Communication & Interpersonal Skills: Exceptional verbal and written communication skills for both internal team support and external customer service.

  • Adaptability and “All-in” Attitude: A self-starter who is comfortable with ambiguity and eager to “pitch in” on diverse tasks in a high-growth startup environment.

This Position

This position is being posted as a full-time contract position with a target duration of 18 months. There is an opportunity to transition to a full-time, permanent role.
