Position Summary

The Project Manager – Information Technology is responsible for planning, coordinating, and executing technology projects and strategic IT initiatives across the Management Services Organization (MSO) and its affiliated physician practices.

Reporting directly to the Chief Technology Officer, this position serves as a key liaison between Information Technology, Operations, executive leadership, physician practices, vendors, and other functional departments to ensure technology initiatives are effectively planned, communicated, implemented, and completed.

The Project Manager – IT will oversee projects involving technology implementations, system integrations, application deployments, infrastructure initiatives, practice integrations, cybersecurity initiatives, data and reporting projects, vendor implementations, and other technology-related organizational priorities.

The ideal candidate combines strong project-management capabilities with an understanding of healthcare technology and business operations and is able to translate technical initiatives into organized, actionable project plans.

Essential Duties & Responsibilities

IT Project Management & Execution

• Lead technology projects from initial planning and requirements gathering through implementation, testing, deployment, stabilization, and project closeout.

• Translate technology and organizational priorities into structured project plans with defined scope, timelines, milestones, deliverables, dependencies, and ownership.

• Manage multiple concurrent technology projects while maintaining visibility into organizational priorities and resource requirements.

• Develop and maintain project plans, implementation schedules, action-item logs, risk registers, decision logs, and status reports.

• Facilitate project meetings and ensure decisions, responsibilities, deadlines, and next steps are clearly documented.

• Proactively follow up with project owners and stakeholders to ensure deliverables remain on schedule.

• Identify project risks, barriers, resource constraints, and dependencies and escalate concerns to the CTO when appropriate.

• Coordinate project activities between internal IT resources, business stakeholders, and external technology partners.

Technology Implementations & System Integrations

• Coordinate implementation and deployment of new technology platforms, applications, systems, and technology services.

• Develop implementation plans covering requirements, configuration, testing, training, communication, deployment, and post-launch support.

• Coordinate system integrations between clinical, operational, financial, and administrative platforms.

• Partner with technical teams and vendors to establish implementation requirements and timelines.

• Coordinate user acceptance testing (UAT), issue tracking, remediation, and implementation readiness.

• Support system upgrades, migrations, replacements, and consolidation initiatives.

• Monitor implementations following go-live and coordinate resolution of outstanding issues.

• Ensure appropriate project documentation is maintained throughout the technology lifecycle.

Practice Integration & Technology Onboarding

• Support technology integration for newly affiliated or acquired physician practices.

• Develop and maintain IT integration plans, readiness assessments, checklists, and implementation timelines.

• Coordinate technology onboarding activities involving systems access, hardware, applications, connectivity, security, telecommunications, and other technology requirements.

• Partner with Operations and other functional teams to coordinate technology requirements for new practice locations, expansions, relocations, and acquisitions.

• Identify technology risks or dependencies that could affect practice integration timelines.

• Track technology integration milestones through stabilization and transition to ongoing IT support.

Business & Technical Requirements

• Work with business and operational stakeholders to understand technology needs and translate them into clearly defined project requirements.

• Facilitate requirements-gathering sessions with appropriate stakeholders.

• Document business requirements, workflows, technical dependencies, and desired outcomes.

• Partner with technical resources to evaluate proposed solutions against business requirements.

• Help bridge communication between technical teams and non-technical stakeholders.

• Ensure business owners understand implementation requirements, responsibilities, risks, and expected changes to workflows.

Vendor & Third-Party Management

• Coordinate technology projects involving software vendors, consultants, managed service providers, and other third-party partners.

• Track vendor commitments, implementation timelines, deliverables, dependencies, and outstanding issues.

• Facilitate vendor meetings and maintain documentation of decisions and action items.

• Assist the CTO with evaluating vendor performance and implementation progress.

• Coordinate internal resources required for vendor-led implementations.

• Assist with technology vendor transitions, system replacements, and contract-related implementation activities.

• Escalate vendor performance or delivery concerns when appropriate.

Cybersecurity, Compliance & Risk Initiatives

• Support project management for cybersecurity, privacy, compliance, and technology-risk initiatives.

• Coordinate implementation of security-related projects and remediation activities as directed by the CTO.

• Work with IT, Compliance, Privacy, Legal, Operations, and vendors to ensure appropriate stakeholders are involved in technology initiatives.

• Track remediation plans, security initiatives, technology assessments, and related action items.

• Maintain project documentation needed to demonstrate completion of assigned technology initiatives.

• Support technology initiatives related to HIPAA and other applicable healthcare privacy and security requirements.

• Coordinate project activities resulting from technology audits, risk assessments, or identified security improvements.

Data, Reporting & Analytics Projects

• Coordinate technology projects involving data integration, reporting platforms, dashboards, business intelligence, and analytics.

• Work with business stakeholders to define reporting and data requirements.

• Coordinate data-validation activities between technical and business teams.

• Track dependencies related to interfaces, data feeds, system integrations, and reporting requirements.

• Support implementation of technology solutions designed to improve organizational access to accurate and actionable information.

Process Improvement & Standardization

• Identify opportunities to improve technology project-management processes and implementation methodologies.

• Develop standardized project templates, implementation checklists, status reports, and documentation.

• Help establish consistent technology implementation processes across practices and departments.

• Document current-state and future-state workflows when technology changes impact business operations.

• Assist with change-management activities associated with new technology implementations.

• Capture lessons learned following major implementations and incorporate improvements into future projects.

Project Tracking & Executive Reporting

• Develop and maintain technology project dashboards and portfolio-level reporting.

• Provide the CTO with regular updates regarding project status, milestones, risks, barriers, resource needs, and decisions required.

• Prepare executive summaries and presentations regarding major technology initiatives.

• Maintain visibility into outstanding action items and organizational technology commitments.

• Track project outcomes against established goals and success measures.

• Provide leadership with timely escalation when projects are at risk of missing critical milestones.

Cross-Functional Collaboration

• Serve as a central coordination point between IT and business stakeholders for assigned technology projects.

• Build productive relationships with executive leadership, physicians, practice leaders, Operations, Finance, HR, RCM,

Compliance, and other departments.

• Communicate technical information clearly to non-technical audiences.

• Facilitate cross-functional project meetings and maintain alignment between stakeholders.

• Help resolve gaps in communication, ownership, or requirements that could delay technology initiatives.

• Promote collaboration between technology resources and the teams that use the systems being implemented.

Leadership Support

• Provide project-management support for strategic initiatives sponsored by the Chief Technology Officer.

• Prepare project updates, executive summaries, presentations, meeting materials, and decision-support information.

• Maintain visibility into the CTO's key initiatives and technology priorities.

• Coordinate follow-up from technology leadership meetings to ensure decisions translate into action.

• Assist with annual technology planning and prioritization activities.

• Support special projects and other technology initiatives as assigned.

Qualifications

Required

• Bachelor's degree in Information Technology, Business Administration, Healthcare Administration, Project Management, Management Information Systems, or a related field.

• 3–5+ years of project management, technology implementation, healthcare IT, business systems, or related experience.

• Experience managing multiple projects and competing priorities simultaneously.

• Demonstrated ability to coordinate projects involving technical and non-technical stakeholders.

• Strong organizational, planning, documentation, and follow-through skills.

• Strong written and verbal communication skills.

• Ability to develop project plans, implementation timelines, status reports, executive summaries, and presentations.

• Proficiency with Microsoft Office, including Excel, PowerPoint, Word, Outlook, and Teams.

Preferred

• Experience within a healthcare MSO, physician practice management organization, multi-site medical group, or similar healthcare environment.

• Experience managing healthcare technology implementations or integrations.

• Familiarity with EHR/EMR, practice management, revenue cycle, patient engagement, telecommunications, data/reporting, or other healthcare technology platforms.

• Experience supporting technology integration associated with physician-practice acquisitions or affiliations.

• Familiarity with healthcare privacy, cybersecurity, and HIPAA requirements.

• Experience working with technology vendors and managed service providers.

• Experience with project-management platforms such as Monday.com, Smartsheet, Asana, Jira, Microsoft Project, or similar systems.

• PMP, CAPM, Scrum, Agile, ITIL, Lean Six Sigma, or related certification is preferred but not required.

Work Environment & Travel

• Position operates within a fast-paced, multi-site healthcare environment.

• Periodic travel to physician practices, corporate locations, implementation sites, and other company locations may be required.

• Some technology implementations, upgrades, migrations, or go-live activities may require work outside standard business hours.

• Must be able to adjust priorities as organizational and technology needs evolve.
