Medical Clerk III (Evening Shift)
Shifts Available: 2:45 PM – 10:45 PM or 3:00 PM – 11:00 PM

Setting: Clinical / Healthcare Administration

Position Overview
Are you an experienced medical administrative professional looking to make a meaningful impact on patient care? We are seeking a skilled Medical Clerk III to provide comprehensive, high-level administrative and clerical support within our healthcare facility.

In this role, you will be the backbone of our evening clinic operations—utilizing your healthcare subject-matter expertise and sound judgment to manage complex workflows. From patient reception and eligibility verification to meticulous medical records management, your work ensures compliance, seamless provider schedules, and an exceptional care experience for our patients and their families.

Key Responsibilities
1. Patient Reception & Eligibility Verification
Welcome & Intake: Greet patients, sponsors, and visitors; conduct initial interviews, verify proper identification, and confirm eligibility for services.

System Verification: Utilize DEERS to confirm patient eligibility, seamlessly escalating complex or borderline cases to the designated oversight official or COR.

Patient Navigation: Guide patients through necessary paperwork, explain clinic procedures, and provide TRICARE informational materials to eligible beneficiaries.

2. Appointment Scheduling & Template Management
• Schedule Coordination: Register, book, modify, and cancel patient appointments utilizing MHS GENESIS (or other approved scheduling systems).

• Template Optimization: Manage and audit provider templates at least 45 days in advance to ensure scheduling accuracy and clinic efficiency.

• Patient Communication: Proactively notify patients of schedule changes, cancellations, or delays, and efficiently manage the rescheduling process.

• Daily Closure: Execute end-of-day closure procedures to ensure accurate workload accountability and reporting.

3. Medical Records & Information Management
• Compliance Handling: Maintain, update, and file electronic and paper patient health records in strict accordance with HIPAA, Joint Commission, and facility directives.

• Care Continuity: Process discharge paperwork, attach lab/imaging results to patient charts, and promptly notify providers when results are available.

• Contingency Operations: Maintain manual patient logs and initiate temporary records during system downtimes to ensure uninterrupted patient care.

4. Insurance & Billing Data Collection
• Data Capture: Complete DD Form 2569 (Third Party Collection Program) for non-active-duty and civilian patients.

• Billing Support: Gather and update accurate insurance, Medicare, and Veterans Administration data, forwarding completed documentation to the Patient Administration Division and Uniform Business Office.

5. Administrative & Team Support
• Reporting: Compile, verify, and format statistical reports, financial data, and workload documentation into clear memoranda and summaries.

• Office Operations: Manage daily administrative tasks including faxing, scanning, mailing, filing, and label preparation.

• Team Orientation: Assist in training and orienting newly assigned personnel on clinic administrative procedures.

Qualifications & Requirements
• Education: High school diploma or equivalent; formal training in medical administration is highly preferred.

• Experience: Proven experience working in a healthcare administrative, medical clerk, or clinic reception environment for a minimum of two (2) years.

• Systems Expertise: Direct familiarity with DEERS, MHS GENESIS, or closely related military/federal healthcare scheduling and records systems is strongly preferred.

• Knowledge Base: Solid understanding of medical terminology, standard healthcare administrative procedures, and defense health protocols.

• Communication: Exceptional verbal and written communication skills with a strong focus on patient customer service.

• Organization: Ability to manage multiple tasks, handle shifting priorities during busy evening shifts, and correct data entry errors with high attention to detail.

• Tech Savviness: Proficiency in Microsoft Office Suite and specialized healthcare software.
