Operations Strategist, Records Retrieval

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for an Operations Strategist, Records Retrieval based in the United States.

This is a high-impact opportunity to help scale a rapidly growing Records Retrieval business from an early-stage operation into a $50–100M revenue organization. You’ll work as a strategic extension of the business leader, taking ownership of complex operational challenges and high-priority initiatives. The role combines strategy, execution, process improvement, analytics, and cross-functional leadership. You’ll have significant autonomy and direct visibility into important business decisions. As the organization grows, you’ll help build the systems, processes, and operating model needed to scale efficiently. This is an ideal environment for an entrepreneurial operator who thrives in ambiguity and wants meaningful ownership from day one.

Accountabilities
  • Own high-priority operational projects across the Records Retrieval organization, including cross-functional coordination, vendor management, go-to-market operations, process design, and other emerging business needs.
  • Serve as the primary liaison to distributed and offshore Records Retrieval teams, coordinating communication, expectations, workflows, and execution across time zones.
  • Identify operational inefficiencies and own the full improvement cycle, from diagnosing problems and designing solutions to implementing and measuring results.
  • Plan and project-manage team transitions, operational changes, process rollouts, and other initiatives that support business growth.
  • Monitor team performance against quality and service standards, identify gaps, and recommend corrective actions through coaching and process improvements.
  • Build, maintain, and distribute leadership reporting covering SLAs, productivity, error rates, case completion, and other key operational metrics.
  • Support recruiting, onboarding, and ramp-up initiatives as the team expands.
  • Escalate blockers requiring senior leadership attention or cross-functional resolution, ensuring critical issues are addressed efficiently.
  • Develop and maintain SOPs, training resources, and operational playbooks that enable consistent execution as the business and client base scale.
  • Act as a force multiplier for Records Retrieval leadership by enabling faster decisions, stronger execution, and continuous operational improvement.
Requirements
  • 5+ years of experience in strategic operations, business operations, consulting, or a similar role, ideally within a high-growth startup or rapidly scaling environment.
  • Demonstrated ability to take ambiguous problems or ideas and turn them into practical, measurable results.
  • Experience managing teams and fostering collaboration, accountability, and performance, particularly during periods of transition or organizational change.
  • High autonomy, low ego, and a willingness to take ownership of whatever the business requires, including hands-on operational work.
  • Comfort working in fast-paced, evolving environments where priorities, responsibilities, and processes change as the organization grows.
  • Strong aptitude for learning quickly and independently across new topics, systems, and business functions.
  • Excellent analytical, critical-thinking, and problem-solving skills with a data-driven approach to decision-making.
  • Strong leadership and influencing skills, with the ability to collaborate effectively across departments and levels of seniority.
  • Experience managing or coordinating distributed or offshore teams across multiple time zones.
  • Confident communication skills, including the ability to translate complex operational challenges into clear, actionable updates for senior leadership.
  • Strong reporting and data-management capabilities, with proficiency in Google Sheets or comparable tools.
