Job Description

Reports to the Director, Beacon Health & Fitness-Elkhart. Responsibilities include developing comprehensive aquatic programs and activities for Beacon Health & Fitness members, community users, outside users and aquatic programs in all Beacon Health & Fitness facilities and the Elkhart Center. The position also includes developing, securing and managing a wide range of local, state, regional, and national aquatic events at the Elkhart Center. Responsibilities include the direction of the day-to-day operations of Beacon Health & Fitness Aquatic Facilities and programs, focusing on the Elkhart Center (BHF-ELK). Also responsible for aquatic facilities and program budget development and management, aquatic staff management, coordination of BHF marketing and sales efforts of aquatic programs and increasing profitability by focusing on inclusive multi-generational programs and access, customer service and user, member, participation growth and retention. Communicates regularly with key stakeholders, user groups, the Elkhart Heath, Fitness, and Aquatic Center Board (EHFAC) and relevant sport organizations and provides BHF Management Frequent operational status updates, strategic initiatives, and to resolve any issues promptly.

Directs the overall aquatic programs at all Beacon Health and Fitness facilities and the day-to-day aquatic programs and operations of the Beacon Health & Fitness--ELK Aquatic Center and manages all programs and services offered to ensure the highest possible standards of quality and customer service, in all areas of the business by:

  • Hire, supervise, train, coordinate, monitor, evaluate and discipline as needed all aquatic program and operations staff, including Aquatic Program Manager, specific program Coordinators, pool operator, lifeguards, instructors, event and overall aquatic staff.
  • Providing leadership over the aquatics programs across all Beacon Health & Fitness sites, in coordination with the BHF management team.
  • Support and assist all BHF-ELK programs and activities with their aquatic needs.
  • Managing the daily aquatic operational activities of the BHF and BHF--ELK aquatic staff (including recruiting, hiring, training, performance appraisals, coaching and, if necessary, disciplining).
  • Oversees all aquatic programming and activities at Beacon Health & Fitness, working with the Aquatic Program Manager at the BHF-ELK and coordinating and integrating aquatic programming at all BHF aquatic facilities.
  • Supervise and oversee the operations of the in-house swimming, diving, water polo, synchronized swimming, and masters swimming teams, including ensuring that all BHF-ELK financial, human resources and risk management policies and procedures are followed.
  • Supervise and oversee the rental programs and use of the Aquatic Center by all outside swimming, diving, water polo, synchronized swimming, masters teams, including ensuring that all BHF-ELK financial, human resources and risk management policies and procedures are followed.
  • Coordinate all Elkhart School District aquatic team, educational and extracurricular activities including scheduling, use, risk management and financial considerations.
  • Coordinate and encourage outside rentals of the BHF-ELK Aquatic Center facilities (based on available space and time).
  • Working closely (where appropriate) with BHF Executive Director, the Director of the BHF-ELK Center and facility staff to provide aquatic programs that support the overall delivery of fitness, health and integrated program benefits at all BHF facilities.
  • Managing the daily aquatic operational activities of the Elkhart Health Fitness & Aquatics and the community space.
  • Develop BHF-ELK Aquatic Center daily schedule and work with Director of BHF-ELK and the Aquatic Program Manager to coordinate and integrate with all scheduling within the BHF-ELK.
  • Work with Executive Director of BHF and the Director of the BHF-ELK to develop, manage and monitor the annual aquatic operating budget, including outside leases and event budgets to maximize profitability.
  • Maintaining the highest level of standards for aquatic fitness, training, coaching, and event facilities and equipment and insure the cleanliness, facility comforts and safety in the aquatic facilities in order to attract and retain a large membership, full schedule of events, and optimum training facilities and participation for in-house and outside teams and programs.
  • In coordination with the Director of the BHF-ELK oversee the BHF-ELK Center Maintenance Staff as it relates to all operational and maintenance issues involving the BHF Aquatic facilities, including developing long range maintenance, capital replacement and upgrades and providing immediate attention to emergency repairs.
  • Work with Executive Director of BHF, the Director of the BHF-ELK, the Aquatic Program Manager and BHF marketing department to provide aquatic program and activity content and information and support all social media and marketing functions for BHF aquatic programs.
  • Work with Director of the BHF to develop all BHF-ELK Aquatic Center rules, regulations, emergency procedures and operating manuals within the overall BHF-ELK facility rules and procedures and monitor and insure their application and execution.
  • Provide regular updates to Beacon health & Fitness Management, stakeholders, and the Community Foundation of Elkhart or the Elkhart Center Board on aquatic programs activities, strategic initiatives, performance metrics and any issues.

Manage BHF-ELK Aquatic Center Events:

  • Work with relevant Sport Governing Bodies, area teams, the Elkhart School District, organizations and stakeholders to develop a comprehensive target list of events to be hosted at the BHF-ELK Aquatic Center.
  • Manage and work with stakeholders to bid for and attract the targeted events, including state, regional, and national club, collegiate, high school, YMCA and other competitions in swimming, diving, water polo, synchro, masters swimming, triathlon and others.
  • Supervise the management of events and coordination of all outside event hosts, volunteers, event staff, system operations and other event related operations.
  • Supervise special events at the BHF-ELK.
  • Develop and manage event budgets.
  • Minimize the impact of events on daily programs and use and member access.

Oversees and manages the contracted services for the BHF-ELK Aquatic Facility by:

  • Work with Director of BHF-ELK to ensure that appropriate aquatic safety and risk management policies/procedures are in place for the aquatic facility and that they are consistently followed at all times, also ensuring the timely certification of equipment as necessary.

Performs other functions to maintain personal competence and contribute to the overall effectiveness of the department by:

  • Maintaining high customer satisfaction by developing and maintaining excellent working relationships with other organizations housed within the BHF-EHFA building.
  • Work closely with and coordinate the efforts of the Beacon Health Systems, BHF-ELK Aquatic Center, the Community Foundation of Elkhart County, Elkhart School District and the Elkhart Center Board with other community organizations in developing outreach and scholarship opportunities to enhance overall community participation in BHF-ELK Aquatic Center programs.
  • Ensuring that world class customer service is given at all times.
  • Searching for additional ways to improve member, user group, event attendees and community user satisfaction.
  • Working with the Executive Director of Beacon Health & Fitness and the Director of the BHF-ELK to develop short- and long-term goals and objectives for BHF aquatic programs and the BHF--ELK; also establishing and maintaining standards and policies/procedures.
  • Monitoring expenditures in order to achieve goals and objectives with available resources (both staff and financial).
  • Maintaining up-to-date knowledge of current trends and developments in the fields of aquatic fitness, health, safety, education, training, events, and marketing, including membership in appropriate professional organizations, continuing education and training, and participation in conventions and meetings of professional organizations and sport governing bodies and aquatic organizations.
  • Periodically assessing products and services of various vendors and providers to ensure that Beacon Health & Fitness aquatic programs and events are positioned as an innovative leader in the industry.
  • Completing other job-related duties and special projects as directed.

  • Available to work overtime in addition to working additional or other shifts and schedules when required.

Education and Experience

  • The knowledge, skills and abilities as indicated below are normally acquired through the successful completion of a bachelor's degree in sports, fitness, wellness, recreation, or sports management related field and a minimum of ten years of related experience in aquatic facility operations and programming and a minimum six years of full-time management experience in aquatic facilities, programs, events, fitness and related fields. A master's degree in one of these fields is preferred. Specific experience in working with aquatic sport's governing bodies, aquatic teams, event bidding and event management is expected.

Knowledge & Skills

  • Demonstrates knowledge of current trends in aquatic programming, facility management, event planning and management.
  • Understands the structure and organization of aquatic sport governing bodies on the local, state, regional, and national levels and demonstrates past experience in working with or acting as a volunteer in these organizations including attendance at annual conventions, workshops, etc.
  • Demonstrates knowledge and experience with key aquatic programming, fitness, therapy, health, safety and wellness organizations.
  • Demonstrates in-depth knowledge of the BHF daily operations and its fitness and wellness programming.
  • Demonstrates in-depth knowledge of the mission and vision of BHF and the Beacon Elkhart Health, Fitness and Aquatic Center.
  • Demonstrates the interpersonal and communication skills necessary to interact in a highly effective manner with a diverse group of members, user groups, visitors, volunteer organizations and the community.
  • Demonstrates experience in managing a large and diverse staff of part-time and full-time employees, including experience in developing, evaluating, implementing and executing staff development and training programs and fostering a culture of accountability.

  • Maintain active membership in relevant professional organizations in the aquatic world such as the Association of Aquatic Professionals, the Competitive Aquatic Facility Directors Association, or related organizations.
  • Maintain Certified Pool Operator designation within one year of employment.
  • Maintain certifications in water safety, lifeguarding, CPR, AED, First Aid and other appropriate certifications relevant to the aquatic programs.

Working Conditions

  • Schedule often includes weekend and evening event responsibilities.
