Job Description

Office Assistant

Note: The compensation range noted above represents the base salaries for all positions at a given grade across the health system. Typically, a new hire can expect a starting salary somewhere in the lower part of the range. Actual salaries will be determined based on the candidate's relevant experience. No employee will be paid below the minimum of the range.

Valley Health Systems, Inc., the parent company of Holyoke Medical Center, provides a broad range of physician services in offices conveniently located throughout Western Massachusetts. Holyoke Medical Center is an independent community hospital that has served the healthcare needs of the Pioneer Valley for over 125 years. We continue to grow and address the needs of our community through quality and patient-centered care.

Our Urology Practice is seeking an experienced Office Assistant to coordinate and carry out all administrative functions for the practice. Tasks include, but are not limited to, patient scheduling, patient registration, patient billing, general customer service and general administrative support to physicians.

Overview of responsibilities include but are not limited to:

  • Greet and check-in patients while verifying demographic, insurance, and referral information.

  • Register patients accurately, verify insurance eligibility, and collect required forms, co-pays, and payments.

  • Provide friendly customer service by answering questions, assisting patients, and communicating appointment delays.

  • Process patient check-out, collect encounter forms and additional fees, and schedule follow-up appointments and diagnostic services.

  • Enter outpatient orders, recalls, and patient information accurately into electronic medical record and order entry systems.

  • Verify encounter forms, enter charges, batch daily payments, and support timely insurance billing and reimbursement.

  • Answer phones professionally, schedule appointments, physician activities, meetings, and maintain daily office calendars.

  • Prepare patient charts, pre-register appointments, maintain medical records, referrals, physician orders, and no-show logs.

  • Perform administrative duties including filing, mail distribution, maintaining supplies and equipment, and documenting meeting minutes.

  • Participate in staff meetings, training, and other assigned duties while keeping supervisors informed of operational needs.

Qualifications:

Education: High School Graduate

Experience: Two years experience in a physician's office or similar environment; experience in Spanish/English medical/health interpreting preferred; experience working with third party payers and working knowledge of ICD-9 and HCPC coding preferred

Special Aptitudes & Activities: Bilingual in English/Spanish preferred. Excellent communication and interpersonal skills; typing, transcription and filing skills; ability to accurately follow verbal and written instructions; organization skills; attention to detail; computer skills; ability to handle multiple tasks.
