Our client, Infinity Strategic Partners, a growing financial services firm located in Northbrook is seeking a strategic Client Associate team member to perform administrative and support duties. (Candidate must be located in the Chicago area and able to commute to Northbrook occasionally).
Position Overview
We are seeking a polished, detail-oriented Client Service Associate to support a team of four Financial Advisors serving a diverse group of clients.
This role offers broad exposure to client service, investment operations, and financial planning within a collaborative, relationship-driven wealth management practice. The ideal candidate is highly organized, proactive, and takes pride in being a trusted resource for both clients and advisors. This position has flexibility to work remotely the majority of the time. The Associate will be expected to come into the office periodically for team collaboration, meetings, and as needed to support the business. Key Responsibilities
Client Service & Relationship Management
- Serve as a primary point of contact for client inquiries, requests, and follow-ups
- Manage client communications, scheduling, and ongoing service needs with a high level of responsiveness
- Coordinate meeting logistics and scheduling
- Prepare materials for client meetings, including financial plans, reports, and agendas
- Track and execute post-meeting action items, ensuring timely follow-through
Investment & Planning Support
- Assist with implementation of client-approved investment and planning strategies, including servicing existing account and contracts
- Prepare all necessary paperwork to open investment accounts and submit life and annuity applications, managing the full process from start to completion
- Follow compliance record keeping rules related to all client activity
- Help track key planning items such as account activity, deadlines, and required distributions
Operations & Workflow Management
- Maintain accurate client records
- Track deadlines and ensure all client service tasks are completed efficiently
- Maintain CRM and financial planning systems with up-to-date client information
- Identify opportunities to improve processes and enhance team efficiency
- Run regular reports to assist advisors in managing their books of business
- Support marketing initiatives, client communications and client events,
- Contribute to internal projects and firm-wide initiatives
Qualifications
- Bachelor’s degree required
- 0-2+ years of experience in wealth management, financial planning, family office, banking, tax, or investment-related roles (We will consider recent grads with internship experience)
- Strong administrative and client service background preferred
- Exceptional organizational skills and attention to detail
- Professional, polished written and verbal communication skills
- Ability to manage multiple priorities and work independently in a fast-paced environment
- Proficiency in Microsoft Office (Word, Excel, PowerPoint)
