Regional Event Planner

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Regional Event Planner based in United States.

This role is responsible for delivering high-touch, concierge-level event planning and execution for executive, leadership, and incentive programs across large-scale regional and global initiatives. You will manage complex, high-visibility events ranging from executive summits to incentive trips and large conferences, ensuring seamless execution from concept to completion. The position requires close collaboration with senior leadership, vendors, and cross-functional teams to deliver premium event experiences that reflect organizational standards and brand excellence. You will oversee logistics, budgeting, vendor negotiations, and on-site execution while ensuring operational precision and consistency. The environment is fast-paced, highly dynamic, and requires strong attention to detail, adaptability, and the ability to perform under pressure. This is a highly impactful role where execution quality directly influences executive and customer experience.

Accountabilities:
  • Lead end-to-end planning and execution of executive and leadership events, including agendas, venues, travel, accommodations, catering, audiovisual, and production.
  • Manage event budgets, track expenditures, and ensure cost efficiency while maintaining premium event standards.
  • Source, negotiate, and manage third-party vendors, including contracts, RFPs, and supplier relationships.
  • Coordinate high-profile programs such as executive meetings, incentive trips, leadership summits, and large-scale conferences.
  • Partner with cross-functional stakeholders to ensure alignment on event strategy, branding, and execution requirements.
  • Oversee registration systems, attendee management, and logistics coordination for events of varying scale.
  • Support process improvement initiatives and help standardize event planning procedures across teams.
  • Train and guide internal team members and vendor marketing managers on event processes and best practices.
  • Serve as a liaison between regional and international event teams to ensure consistency and knowledge sharing.
  • Provide on-site event leadership and support, including troubleshooting and real-time decision-making.
Requirements:
  • 8–10 years of experience in event planning, hospitality, corporate events, or related fields.
  • Bachelor’s degree preferred; industry certifications such as CMP, CMM, or CTSM are a plus.
  • Strong experience managing executive-level and large-scale events with complex logistics.
  • Proficiency in Microsoft Office Suite, particularly PowerPoint, for presentations and event planning materials.
  • Familiarity with event and marketing tools such as Cvent, Marketo, or virtual event platforms.
  • Strong vendor management and negotiation skills with experience handling RFPs and contracts.
  • Excellent organizational and project management abilities with strong attention to detail.
  • Ability to work independently while collaborating effectively within a global, cross-functional team.
  • Strong communication, presentation, and stakeholder management skills, including executive-level interaction.
  • Ability to manage multiple priorities under tight deadlines in high-pressure environments.
  • Willingness to travel domestically 25–35%, including nights and weekends as required.
  • Physically able to support on-site event execution, including standing for extended periods and lifting up to 20 lbs when needed.
