Job Overview:

Reporting directly to the Administrative Director of Adult Clinic Operations, the Certified Medical Assistant (CMA) Manager provides overall operational direction and oversight for CMA supervisors, Medical Health Technicians (MHTs), and CMAs in the adult outpatient oncology clinic and infusion settings. This role collaborates with leadership to drive daily workflow efficiency, manages clinic supplies, clinic equipment, and vendor relationships, ensures strict infection control and safety standards, and supervises personnel in accordance with RWJBH guidelines and required competencies.

Qualifications:

Required:

  • High School diploma (or equivalent experience, education, and/or training)
  • 5 years of previous leadership experience
  • Completion of a formal medical assistant training program (NHA, NCCT, AMT, AAMA, NCMA, AMCA, AECA, or NAHP).
    • Must be willing to perform CMA or MHT duties on an as-needed basis

Preferred:

  • Associate's or Bachelor's degree

Scheduling Requirements:

  • Full-time, Day Shift (40 hours per week)

Essential Functions:

  • Supervises day-to-day operations for all clinic MHT and CMA staff in accordance with corporate guidelines while allocating daily work assignments and monitoring the overall accuracy and performance of completed work.
  • Manages clinic supplies, clinic equipment needs, and vendor relationships as they pertain to clinical needs and provider preferences in conjunction with organizational guidelines and leadership support. Works with providers to ensure access to equipment and supplies is timely and offers contingency solutions as needed.
  • Works with unit educators to ensure completion of orientation for new CMA/MHT team members and completion of annual mandatory training and department specific competencies for all CMA/MHT team members.
  • Recommends personnel changes including hiring, firing, promotions, transfers, and disciplinary actions while ensuring employee performance evaluations are completed accurately and on time.

  • Organizes effective training programs and conducts competency assessments for staff to monitor performance metrics and improve the overall quality, consistency, and efficiency of clinic services.

  • Develops and shares departmental productivity standards with the clinical team while consistently creating and implementing specific action plans for continuous performance improvement.

  • Manages daily clinic operations to fulfill institutional strategic objectives while strictly adhering to departmental budget constraints related to employee overtime.

  • Assists leadership with developing, implementing, and communicating strategic goals for the infusion and clinic areas to ensure all targets are clearly understood by the staff.

  • Meets regularly with Physicians, Advanced Practice Nurses, and Nurse Clinicians to evaluate service levels, identify process improvement needs, and foster excellent communication across clinical teams.

  • Assists with the development, implementation, and continuous monitoring of quality assurance programs, benchmark measures, and operational policies specifically as they pertain to MHT and CMA team members.

  • Manages and supports strict infection control and safety standards by ensuring all staff members practice proper hand hygiene, wear mandatory PPE, and review protocols related to patient, family, and employee safety.

  • Consistently promotes workplace safety by enforcing the correct usage of PPE, Sani-Cloths, and spill kits while maintaining proper cleaning methods after equipment usage.

  • Oversees comprehensive staff training regarding chemical hazards, safety protocols, and necessary dwell times while continuously monitoring, coaching, and reeducating staff to uphold organizational safety standards.
