Capacity Utilization Specialist

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Capacity Utilization Specialist based in the United States.

In this role, you will be responsible for ensuring that provider scheduling templates are accurately built, maintained, and continuously optimized to support efficient patient access and streamlined clinic operations. You will work at the intersection of operations, information systems, and clinical teams to align scheduling capacity with patient demand and organizational goals. This position plays a key role in improving provider productivity, enhancing patient experience, and supporting system-wide scheduling consistency. Working closely with cross-functional stakeholders, you will help implement structured scheduling frameworks, including Access IQ decision models and solution-based scheduling practices. The environment is dynamic and highly collaborative, requiring strong analytical skills and attention to detail. Your work directly contributes to reducing access barriers and ensuring the healthcare system operates at maximum efficiency.

Accountabilities
  • Build, maintain, and optimize provider scheduling templates within Epic Cadence, ensuring alignment with system governance standards and operational requirements.
  • Coordinate updates and changes to scheduling templates across multiple clinics, specialties, and service lines to maintain consistency and accuracy.
  • Partner with operations leaders and IT teams to implement template strategies and resolve scheduling or access-related issues.
  • Support the execution of Access IQ decision trees and solution-based scheduling workflows to improve access and efficiency.
  • Conduct regular audits of scheduling templates, validating visit types, slot configuration, and scheduling rules for accuracy and integrity.
  • Identify inefficiencies or gaps in scheduling performance and recommend improvements to enhance capacity utilization and patient access.
  • Collaborate with stakeholders to support go-live activities, system updates, and template transition initiatives.
  • Monitor and respond to issues affecting scheduling performance, provider productivity, and patient flow.
  • Contribute to continuous improvement initiatives focused on scheduling optimization and operational efficiency.
Requirements
  • Associate’s degree in a healthcare-related field preferred.
  • Minimum of 2 years of experience in healthcare operations or a related clinical administrative environment.
  • Strong knowledge of Epic Cadence scheduling workflows and provider template management.
  • Hands-on experience building, maintaining, or optimizing provider scheduling templates or similar scheduling systems.
  • Strong analytical skills with the ability to identify trends, gaps, and opportunities for improvement.
  • Excellent attention to detail and ability to manage multiple priorities in a fast-paced environment.
  • Strong communication and collaboration skills to work effectively with clinical, operational, and technical teams.
  • Understanding of clinical workflows in primary care or specialty care settings is highly desirable.
  • Ability to support system changes, workflow updates, and scheduling governance processes.
  • Internal candidates may be considered even if minimum qualifications are not fully met.
