Job Title: Operations Coordinator

Department & Department Number: Construction

Directly Reports To: Operations Manager

FLSA Status: Salary Exempt

Essential Duties and Responsibilities

The essential functions include, but are not limited to the following:

· Input new jobs into Buildertrend once contract is executed, including setting up project information, inviting buyers and team members, maintaining buyer user access and permissions throughout the project, uploading project documents, and ensuring Buildertrend remains current from pre-construction through closing.

· Maintain/ensure all documents related to construction are uploaded to Buildertrend

· Coordinate permits, plats, surveys, addresses, and utilities for all products with direction from Operations Manager

· Assist with DRC submittals and ensure all related documentation is uploaded into Buildertrend

· Ensure start packs are created/completed on time and given to Construction Managers prior to start of construction with direction from Operations Manager

· Manage the Pre-Start Schedule, ensuring all milestones are tracked and completed on time.

· Coordinate and order all pre-construction activities, including topographic/tree surveys, geotechnical (soils) reports, engineering, and other required pre-start services.

· Assist the Operations Manager with preparing and processing invoices for all approved change orders and buyer selection upgrades.

· Assist with job reconciliations throughout construction and prior to closing to ensure all costs, change orders, and allowances have been accurately accounted for.

· Maintain accurate project records in Buildertrend and SharePoint to ensure all documentation is complete, accessible, and up to date throughout the duration of each project.

· Assist Sales & Marketing with signage across property and order address plaques for all new construction builds

· Assist Operations Manager with the involvement of change orders and selection upgrades

· Order and Initiate ACES Home Warranty and ensure all documentation is uploaded into Buildertrend

· Create closing binders and ensure all required paperwork is given to the Construction Manager prior to the scheduled intro walk and final walk with the buyers

· Obtain/ maintain all product/ manufacturing warranty information and ensure it is uploaded to Buildertrend and included in the Closing Binder

· Maintain and track warranty schedule for all closed homes. Assist Construction Manager in scheduling the 30 day and 1 year warranty walks with homeowners

· All Operations are required to complete assigned BuilderTrend Academy courses and submit certificate to Construction Services Director.

· Additional BuilderTrend webinars are available through the training tab, and you are encouraged to sign up for classes regularly.

· Individual training sessions can be scheduled with our assigned BuilderTrend coach.

Minimum Qualifications (Knowledge, Skills, and Abilities)

· Strong organizational skills – ability to manage large volumes of paperwork, data, and project details

· Attention to detail – ability to successfully ensure the accuracy of all documentation

· Communication Skills – effective communication required with clients, contractors, and project team members

· Professionalism – ability to maintain a positive attitude and professional demeanor and appearance at all times

· Ability to perform well under project constraints and deadlines

· Previous experience in the construction industry

· Knowledge of construction materials

· Knowledge and experience with Microsoft suite

APPROXIMATE SCHEDULE AND HOURS:

· Full-time, as needed position. May require weekdays, weekends, and Holidays. Schedule flexible as business dictates.

Physical Demands and Work Environment

Lifting/Pushing/Pulling/Carrying

· This position requires an above average amount of physical labor such as bending, stooping, walking, reaching, and standing.

· Should be able to lift and carry up to 50 lbs.

Bending/Kneeling

· This position requires an above average amount of physical labor such as bending, stooping, walking, reaching, sitting, and standing. This position requires this type of activity throughout the day.

· This position requires driving, and thus, there can also be extended periods of sitting.
