We have an exciting opportunity for a Support Staff II to join our team of talented professionals in our Children's Outpatient Program (Intake).

Primarily responsible for the general clerical, receptionist, file management, tracking and appointment scheduling for the Children’s Behavioral Health units. Regular working hours are between the hours of 8:30am to 5:00pm Monday through Friday. One weekday working hours of 11:00am to 7:00pm. Some evening or weekend hours will be required based on program needs. Those employees scheduled on a part-time basis will be flexible to the program needs. The weekly schedule will be flexible so as to accommodate the needs for clerical staffing. This includes one standing evening per week and additional evenings for coverage as needed.

Specific Responsibilities:

1. Answer phone and receive people with courtesy and professionalism.

2. Schedule all client appointments for the doctors on Front Desk.

3. Maintain HIPAA compliance & confidentiality of clients.

4. Make reminder phone calls the day before intakes and doctor appointments.

5. Monitor SALS each morning and re-file charts from previous day for doctors and therapists.

6. Assist CAU in setting up intakes, organize intake list, receive new clients, prepare intake packets when/if necessary, distribute appropriate forms and communicate with CAU regarding client status.

7. Set up and process new files and break down closed files when/if necessary

8. File psychiatric material and pull records for doctors.

9. File material for client records as needed.

10. Verify Medicaid and other insurance cards each month.

11. Coordinate and order office supplies for unit.

12. Attend and participate in supervisory meetings as directed

13. Attend and participate in unit meetings.

14. Work in coordination with other support, case management and clinical staff.

15. Coordinate with unit staff for coverage and pick-up and delivery of mail.

16. Gather client information and fees as needed.

17. Prepare and generate Electronic Health Record reports as requested.

18. Send letters as requested.

19. Type and copy as requested.

20. Must complete program and/or position specific training on an annual basis.

21. Other duties as necessary.

Requirements:
  • High School Diploma with a minimum of 2 years clerical/reception experience.
  • Proficiency in a variety of computer programs, especially word processing software, and dedicated software systems.
  • Must have excellent written and verbal communication, organizational and multi-tasking skills.
  • Must be able to type proficiently and be able to attend to details, track and prepare data in an accurate and timely way.
  • Must possess the ability to interpret a variety of instructions furnished in writing or orally.
  • Ability to work with a wide variety of consumers and staff.
  • Additional requirements include a nonjudgmental approach that reflects cultural competency and sensitivity to the unique needs and diverse experiences of our consumers and staff members as well as the programs they represent.
  • Must have the ability to appropriately handle crisis situations.
