Summary of Position

The Import Entry Coordinator is responsible for managing the entire process of receiving and clearing imported goods arriving by air. This includes coordinating customs clearance, documentation, transportation, and delivery while ensuring compliance with regulations. The role requires accurate record-keeping, effective communication with clients and stakeholders, and proactive problem-solving to ensure smooth import operations.

Essential Duties and Responsibilities

  • Verify Import documents and accurately input data into the company transportation management (TMS) system.
  • Coordinate delivery orders post-customs clearance and arrange deliveries with trucking companies.
  • Gather invoices from vendors and ensure proper documentation.
  • Issue invoices to customers after the completion of deliveries.
  • Collaborate with customs brokers to ensure smooth import operations.
  • Manage and oversee imported goods for assigned accounts, ensuring efficient customs clearance and timely delivery.
  • Charge, cost, and arrange the movement of goods and consignments, ensuring compliance with applicable regulations.
  • Liaise with overseas offices, partners, and agents to facilitate smooth import processes.
  • Coordinate with shippers, and transportation companies (both domestic and international) for the import of shipments.
  • Manage the complete shipment process, including:
    • Arranging pick-up or inland transportation
    • Booking shipments
    • Document preparation (bill of laiding, invoicing, certificate of origin, export declaration,etc.)
    • Forwarding follow-ups with tracking and tracing to the final destination
    • Ensuring data quality
  • Maintain communication with vendors, shippers, customers, and carriers throughout the process.
  • Select appropriate routing to meet customer needs.
  • Maintain standard operating procedures (SOPs) and customer profiles, including key contacts, special requirements, contract rates, and preferred routings/services/carriers.
  • Participate in quoting processes as requested.
  • Immediately report problems, operational disputes, or discrepancies to supervisor.
  • Handle additional responsibilities as needed, supporting specific departments/divisions or completing individualized assignments.
  • Resolve issues related to meeting client requirements, data input, and general customer service inquiries regarding tracking and tracing.
  • Resolve billing discrepancies and discrepancies against client SOPs.

Qualifications and Requirements

Education: High school diploma required. A bachelor's degree in related fields is preferred but not required.

Experience: 2 to 5 years of experience in freight forwarding or logistics.

Certifications: Certified Customs Specialist Certification (CCS) or Customs Broker License is preferred, but not neccesary.

Skills

  • Strong ability to read and interpret documents, contracts, and regulations.
  • Basic understanding of import operations and logistics processes.
  • Proficiency in written communication for reports, forms, and correspondence.
  • Familiarity with customs and logistics software and systems.
  • Excellent reasoning ability to apply instructions and resolve logistical challenges efficiently.
  • Proficiency in computer applications, including Google Workspace, Microsoft Office, spreadsheets, and tracking software.
  • Ability to manage multiple shipments, monitor deadlines, and work accurately under pressure.
