Position Summary
The Merchandise Assistant plays a key supporting role within the Merchandise Team, ensuring stock availability, product master data, and inventory volume is efficiently managed to drive sales and support company growth. This position is responsible for inventory assortment planning, warehouse and store replenishment, vendor communications, and promotional coordination across Baby Village’s retail and online channels. Working closely with the Merchandise Planning Manager and other internal departments, this role ensures a seamless flow of products to meet customer and business needs.
Key Responsibilities
Inventory & Replenishment
Maintain accurate replenishment models and place purchase orders in line with Open to Buy (OTB) budgets and stock flow guidelines.
Monitor sales and inventory data to generate purchase orders and identify stock gaps or overages.
Provide replenishment forecasts to suppliers to support production planning and delivery timelines.
Ensure stock availability for new store openings, marketing campaigns, and seasonal peaks.
Manage store ranging, stock balancing, and store feedback to maintain optimal inventory levels.Product Management & Promotions
Source new products and identify category gaps in consultation with the buying and planning teams.
Assist in the creation of new product lines, ensuring accurate master data setup.
Review and suggest promotional activity to support sales and margin targets.
Negotiate promotions or discounts with suppliers when appropriate.
Communicate supplier availability clearly to stores, customer service, and marketing.
Reporting & Analysis
Prepare and maintain regular sales, inventory, and product performance reports.
Monitor aged and clearance inventory and recommend actions to reduce aged stock in line with targets.
Conduct pre-season and post-season analysis to support future buying decisions.Evaluate core assortments and suggest range adjustments based on performance.
Administrative Support & CollaborationLiaise with suppliers to track existing purchase orders and negotiate delivery timelines.
Collaborate closely with marketing and retail operations to align on promotional calendar and inventory planning.
Maintain accurate product and supplier data for streamlined ordering and reporting.
Contribute to process improvements and systems development to enhance operational efficiency.
Skills & Experience
To thrive in this role, the ideal candidate will have:
Advanced Excel skills — including pivot tables, VLOOKUPs, and data analysis.
Strong analytical and commercial acumen — able to interpret data and make sound stock and margin decisions.
Excellent communication and interpersonal skills — able to liaise with internal teams and external vendors.
High attention to detail — particularly in product data, ordering, and reporting.
Proactive, can-do attitude — with a willingness to adapt and assist across different areas of the business.
