Position Description: Level 1 Administrative Specialist
As part of our Administration team, you will provide support to Plunkett’s office operations by performing both permanent and temporary duties. Responsibilities will include payment processing, responding to client questions and concerns regarding invoices and payment applications, and applicable projects and tasks relating to our Administration team. Tasks may be added, dropped, or changed based on future impact of technology and client data management software changes.
This role is full-time, on-site in our Fridley, MN office.
Essential Job Duties:
- Process a large volume of payments in the form of credit cards, ACH, and/or checks.
- Support billing, collections, and account management operations.
- Support clients with escalated billing and payment questions.
- Identify the source of billing and payment application discrepancies and reconcile the variance.
- Process incoming payments from both customers and service technicians.
- Cross train on other administrative duties and perform backup duties as needed.
- Monitor shared email boxes, effectively respond to clients, and escalate concerns that should be reviewed by other employees.
- Perform administrative duties as assigned to ensure all tasks are completed by deadlines.
- Provide telephone backup support to Client Service as requested.
- Adapt quickly to change and work under tight deadlines.
- Communicate effectively & professionally (written and verbal) with people both inside and outside the company.
- Maintain a safe and clean work environment.

Minimum Requirements:
- High school diploma or equivalent.
- Ability to effectively communicate on the phone and through email/text in a professional and efficient manner.
- Computer skills including the ability to learn new software and systems.
- Proficiency in MS Office applications, typing, and 10-key.
- Strong organization skills and attention to detail will be key to success in this role.
- Available to work 40 hours Monday-Friday on a set schedule during regular business hours with some overtime required in the summer months.
- Must be able to work in a team environment and develop positive relationships with co-workers.
- Ability to read, write, clearly speak, and understand English.
- Favorable drug test and acceptable background record are also required.
- This role is onsite in Fridley, MN.
Preferred Requirements:
- Previous experience working with collections or processing payments.
Physical Demands and Work Environment:
- Communicates through telephone conversations, email, text and face-to-face interactions.
- The ability to lift and carry up to 30 lbs.
- Must possess the mobility to work in a standard office setting and to use standard office equipment including a computer, keyboard, and telephone.
- Read printed materials and a computer screen.
- The ability to perform tasks that require hand-eye coordination.
