About This Position

Description:

The Project Coordinator will organize, manage, and plan various stages of our organization’s installation projects. This position serves as the main point of contact for customers, vendors and serves as the liaison between all divisions.

Requirements:

Essential Job Duties and Responsibilities:

  • Lead weekly Ops Meetings to review Priority Report for current, ongoing, and new installation jobs.
  • Document and follow up on action items and decisions from meetings. This position will be responsible for the following action items:
  • Schedule jobs with customers: Verbal or written confirmation of scheduled installation date is required from customer.
  • Schedule inspections.
  • Equipment follow up with distributors.
  • Other items as assigned.

Manage BID Drive

  • Create job folder for all sold jobs on BID Drive and maintain job information to include:
  • Updating customer contact information.
  • Adding job receipts/invoices for materials cost, as received.
  • Adding warehouse picking tickets, invoices, packing slips, as received.
  • Adding pictures, as received.
  • All other job information, as received.

Manage Mechanics Drive

  • Copy over job folder from BID Drive, removing all cost details from quotes, invoices etc.

Permitting

  • Submit applications for permitting with designated City/County permitting office. Including downloading requested information.

Inspections

  • Coordinate inspections with customer and schedule with permitting office once job is complete.
  • Maintain install calendar for commercial and residential inspection dates.
  • Follow up on failed inspections.
  • Maintain failed inspection report.

Change Order Entry & Tracking

  • Receive all change orders for non-BID jobs from install team.
  • Maintain change order tracking sheet.
  • Work with install team regarding pricing.
  • Receive verification from salesperson regarding items and final pricing for the change order.
  • Once pricing has been determined and verified by salesperson, enter into Field Edge.
  • Notify AP/AR Specialists via email to bill change order.

· Warehouse Picking Tickets

  • Price items via distributors pricing sheet/website and scan to BID drive.
  • Maintain Pre-Task Plans (PTP) and Vehicle Inventory Reports.
  • Attend and assist with meetings and meeting minutes as needed.
  • Maintain a safe, secure, and healthy work environment by following and standards and procedures, complying with OSHA regulations.
  • Support and promote Tri South Mechanical’s Culture, Mission, and Core Values.
  • Other duties as assigned.
