About This Position
About the RoleWe are seeking a highly organized and detail-oriented Administrative & Vendor Management Operations Specialist to support daily operational functions within our organization. This role combines traditional mailroom duties with responsibilities in vendor coordination, supply management, invoice processing, and operational support across departments.The ideal candidate thrives in a fast-paced environment, has strong communication skills, and can manage multiple workflows while ensuring timely and accurate execution of tasks.Key ResponsibilitiesAdministrative OperationsSort, log, and distribute incoming mail by type and destination.Prepare outgoing mail, maintain logs for special mail, and ensure timely delivery.Manage the receiving, logging, and mailing of client checkbooks and credit cards.Maintain records of archived departmental boxes.Maintain inventory of supplies and stockroom organization.Vendor Management & Supply CoordinationManage supplier relationships and maintain vendor agreements.Support the Vendor Management Program, ensuring compliance with internal policies.Receive purchase requests, route approval, and place orders for all business units.Track delivery status, verify orders, and maintain supply continuity.Review, verify, and submit invoices for payment.Ensure that all premises are stocked with necessary equipment and office supplies.Operational Support & Check ProcessingSupport daily processing of Check 21, including check verification and returns.
Process inclearing check entries, batch entries, and account maintenance transactions.Process Remote Check Deposits and maintain logs for Official Checks.Assist in achieving departmental operational goals.Additional ResponsibilitiesCollaborate with internal teams to ensure timely communication and workflow support.Report on equipment needs and ensures mailroom machinery is properly maintained.Perform additional duties as assigned to optimize departmental efficiency.Minimum RequirementsHigh school diploma or equivalentStrong proficiency in Microsoft Excel and WordStrong organizational and time management skillsAbility to work under pressure and handle high volume tasksExcellent communication and adaptabilityExperience with high volume data entryStrong attention to detailPreferred Skills (Vendor Management Focus)Experience supporting a Vendor Management Program (VMP)Familiarity with vendor contracts, renewals, and compliance trackingAbility to communicate with suppliers professionallyExperience coordinating purchase orders and maintaining supply continuityBasic knowledge of invoice verification and accounts payable coordination
Compensation Compensation for this 35 hour-per-week, full time role includes a base annual salary in line with the market and the applicant’s experience, plus eligibility for discretionary Bonus. Benefits package includes Medical, Dental, Vision, 401 (K), Paid Vacation, Holidays and Sick Days, Life Insurance and Short/Long Term Disability insurance.
Compensation Compensation for this 35 hour-per-week, full time role includes a base annual salary in line with the market and the applicant’s experience, plus eligibility for discretionary Bonus. Benefits package includes Medical, Dental, Vision, 401 (K), Paid Vacation, Holidays and Sick Days, Life Insurance and Short/Long Term Disability insurance.
