We are seeking an Assistant Practice Manager to oversee billing operations, ensure compliance with regulations, and lead a team to optimize the revenue cycle. Key responsibilities include staff management, billing trend analysis, claim submissions, AR oversight, and collaboration with stakeholders to resolve patient accounts. The role also involves quality assurance, training, and ensuring excellent customer service across the organization.

Job Duties
- Supports day-to-day practice operations, ensuring efficient patient flow, access, and provider scheduler optimization.
- Monitors and addresses operational bottlenecks.
- Assists with implementing standardized workflows to improve care coordination, referral management, and throughput.
- Serves as point-of-contact for front desk, clinical support staff, and providers for real-time operational needs.
- Provides direct oversight and support to front office and clinical support staff (e.g., MAs, LPNs, PSRs).
- Assists with staff scheduling, coverage planning, onboarding, and training of new employees.
- Reinforces organizational policies, expectations, and service standards.
- Promotes a positive, team-based culture focused on accountability and patient-centered care.
- Supports initiatives to enhance patient satisfaction, including timely access, communication, and service recovery.
- Addresses patient concerns and escalates issues as appropriate.
- Monitors key access metrics (e.g., third next available appointment, no-show rates) and implements improvement strategies.
- Reinforces front-end revenue cycle processes including registration accuracy, insurance verification, and point-of-service collections.
- Monitors charge capture, documentation workflows, and referral authorization processes.
- Ensures compliance with regulatory requirements, including HIPAA, CLIA, and organizational policies.

Qualifications
Education:
- Bachelor’s degree in business, management, healthcare or a related field
Experience:
- 2-4 years of experience in healthcare operations, preferably in an ambulatory or outpatient services setting.
Skills & Competencies:
- Understanding of ambulatory operations, including scheduling, workflows, and revenue cycle processes.
- Excellent organizational, communication, and problem-solving skills.
- Ability to manage competing priorities in a fast-paced environment.
- Proficiency in electronic health records (EHR) systems and other software applications.
