Job Summary
The Onboarding Specialist plays a key role in delivering seamless, engaging, and compliant onboarding experience for new hires. This role partners closely with Talent Acquisition, and HR to make new employees feel welcomed, prepared, and set up for success from day one. The ideal candidate is detail-oriented, highly organized, people-focused, and passionate about employee experience.
Major Duties/Critical Tasks:
- Coordinate and manage end-to-end onboarding for new hires from offer acceptance through onboarding completion
- Serve as the primary point of contact for new hires during the onboarding process
- Facilitate and/or support new hire orientation sessions (virtual and/or in-person)
- Ensure job descriptions are finalized, accurate, and provided to new hires as part of onboarding
- Request and coordinate new hire system access and accounts, including but not limited to: eClinicalWorks (eCW), Microsoft Teams, Company email and Additional systems based on role requirements
- Partner with IT to ensure all technology access and equipment is available prior to start date
- Track and follow up on access requests to ensure day-one readiness
- Ensure completion of all onboarding and employment documentation, including I-9s, policies, and required forms
- Upload and maintain all onboarding documentation in the employee personnel file accurately and timely
- Maintain compliance with employment laws, internal policies, and audit requirements
- Administer new hire surveys to evaluate onboarding effectiveness and employee experience
- Track, review, and report survey feedback; recommend process improvements based on insights
- Provide exceptional customer service to new hires, addressing questions with empathy and professionalism
- Partner with Talent Acquisition for smooth handoff from candidate to employee
- Continuously evaluate onboarding workflows and suggest enhancements to improve efficiency and experience

- Bachelor’s degree in Human Resources, Business Administration, or related field (or equivalent experience)
- 1+ years of experience in HR, onboarding, employee experience, or talent operations
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
