Position Description: Level 1 Administrative Specialist

As part of our Administration team, you will provide support to Plunkett’s office operations by performing both permanent, temporary, and seasonal duties. Responsibilities will include payment processing, responding to client questions and concerns regarding invoices and payment applications, and applicable projects and tasks relating to our Administration team. Tasks may be added, dropped, or changed based on future impact of technology and software changes. In this role, you can expect to complete numerous setups and account maintenance requests for clients, respond to questions and requests from other Plunkett’s departments, facilitate work order and invoice submissions in third-party systems, as well as other seasonal and/or temporary projects assigned by leadership as needed. Plunkett’s provides the flexibility to tailor each account to the customer’s needs. You will be required to use a variety of skillsets and knowledge resources to complete each task competently, which will be provided to you during your initial and ongoing training.

Essential Job Duties:

  • Create and update accounts in Plunkett’s client database for accurate services, pricing, and contact information.
  • Support clients with escalated billing, service, collections, and account management questions via phone and email.
  • Learn and manage the daily use of third-party portals for submitting work order requests and processing invoices.
  • Cross train on other administrative duties and perform backup duties as needed.
  • Process a large volume of daily emails, notifications, etc.
  • Perform administrative duties as assigned to ensure monthly tasks are completed by deadlines.
  • Provide telephone backup support to our Client Service team as needed.
  • Adapt quickly to change and work under tight deadlines.
  • Communicate effectively with both internal and external clients.
  • Project a professional image; is friendly, pleasant, and courteous when working with internal and external clients.
  • Cooperate with Company leadership by performing additional duties as assigned.

To perform this job successfully, an individual must be able to perform each essential duty effectively.

Requirements:

Minimum Requirements:

  • High school diploma or equivalent.
  • Ability to read, legibly speak, and understand English. Must be able to communicate clearly and effectively to clients and Plunkett’s employees; including strong telephone skills (tone, clarity, grammar, and phone etiquette).
  • Available to work 40 hours M-F in our Fridley, MN office, on a set schedule during regular business hours with some overtime possible in the summer months.
  • The ability to maintain focus and accuracy while performing repetitive tasks over extended periods.
  • The ability to prioritize and manage multiple tasks and deadlines.
  • Self-directed with strong work ethic and attention to detail.
  • Strong problem-solving skills.
  • Must have the capability to work independently and as part of a team.
  • Proficiency in MS Office applications and typing.
  • Competency working with spreadsheets and managing large amounts of data.
  • Favorable drug test and acceptable background record is also required.

Preferred Requirements:

  • Previous experience interacting with clients regarding account management or invoicing.
  • Previous experience working in the role of a problem-solver.

Physical Demands and Work Environment:

  • Communicates through telephone conversations, face-to-face interactions, texts and email.
  • The ability to lift and carry up to 10lbs.
  • Sitting for long periods of time; occasional bending, kneeling, stooping and crouching.
  • Read printed materials and a computer screen.
  • Stamina needed to maintain attention to detail despite interruptions.
  • Must possess the mobility to work in a standard office setting and to use standard office equipment including a computer, keyboard, and telephone.
