Position Summary
The Executive Project Manager provides strategic administrative and operational support to the CEO and Executive Leadership Team, ensuring the efficient day-to-day management of the Executive Office and leadership of strategy and planning across the organization. This role will encompass a variety of responsibilities, including project management, governance administration, and strategic planning. This role requires exceptional communication and organizational skills, sound judgment, and the ability to lead, progress and manage complex priorities in a fast-paced environment. The Executive Project Manager serves as a key liaison between the CEO, internal leadership, board members, and external partners while also driving organizational initiatives that contribute to overall business success. They are an influencer throughout our organization, working closely with the larger team to improve strategic and organizational operations and ensure alignment and accountability around organizational goals and critical business priorities.
Essential Job Functions
Executive Administration
- Provide high-level administrative and operational support to the CEO, including proactive and prioritized calendar management, ensuring the CEO is fully prepared with materials and briefings.
- Serve as the primary point of contact for internal and external stakeholders on matters related to the CEO, exercising discretion and sound judgment when handling sensitive or confidential information.
- Coordinate high-volume domestic and international travel logistics, including flights, accommodations, transportation, and expense management, while optimizing for efficiency and cost effectiveness.
- Lead planning and execution of CEO and Executive Team driven meetings, including leadership meetings, strategic planning sessions, staff meetings, and external engagements; coordinate logistics, develop agendas, prepare all presentations and meeting materials, document action items, and ensure follow-through on key outcomes across the organization.
- Oversee and support strategic initiatives and special projects on behalf of the CEO and Executive Leadership Team, including research, presentation development, reporting, and cross-departmental coordination, ensuring they are delivered on time and within scope, monitoring progress and providing regular updates to key stakeholders.
Governance
- Manage all board and governance administration, including but not limited to coordination of board meetings, preparation of all board materials, meeting logistics, documentation, board travel and expense and budget management and serving as a liaison for board member administrative needs.

Strategy & Planning
- Lead the development and administration of organizational strategy and planning
- Plan and manage annual, quarterly and monthly priority planning session
- Maintain reporting and tracking systems for organizational goals and priorities including strategic priority mapping from the organization’s strategic plan to annual goals and business plans, to quarterly priorities and monthly status updates.
- Work collaboratively with internal teams to ensure alignment on strategic priorities, resource allocation, and ensure priority tracking is comprehensive, clear, and completed on schedule.

Knowledge, Skills, and Abilities
- Proven track record in developing and executing strategic initiatives, facilitating planning sessions, and aligning departments with organizational goals.
- Experience collaborating across multiple functions (finance, marketing, operations) to drive alignment and influence without direct authority.
- Hands-on project management experience, overseeing complex projects from inception to completion.
- Strong organizational skills with the ability to manage multiple priorities effectively and create systems for tracking progress.
- Detail-oriented with a keen eye for accuracy in reporting and documentation, complemented by strong written and verbal communication skills.
- Proactive in identifying issues and proposing solutions, with an ability to anticipate needs and prepare accordingly.
- Collaborative spirit, capable of building relationships across departments to ensure alignment on priorities.
- Analytical mindset, able to assess data critically and use it to inform decision-making and reporting.
- Adaptable in fast-paced environments, open to feedback, and willing to adjust approaches as priorities change.
- Strategic thinker who understands the organizational vision and aligns priorities.
- Tech-savvy and quick to learn new tools that enhance efficiency.
Qualifications
- Bachelor’s degree or an equivalent combination of education and professional experience that provides the required knowledge, skills, and abilities.
- Five+ of direct experience working with executive leadership and boards of directors.
- Previous roles in leadership or management, where the individual has led teams or initiatives, such as department head or project lead.
- Direct experience managing complex projects, including setting timelines, coordinating resources, and ensuring successful execution.
- Experience in positions focused on strategic development, such as a strategy consultant, business analyst, or strategic project manager.
- Previous professional experience in roles requiring regular, clear communication to executive leadership and across teams and stakeholders, demonstrating the ability to convey information effectively and foster collaboration.
- Proven ability to develop and prepare executive-level presentations, reports, and briefing materials.
Working Conditions and Physical Requirements
- USA Triathlon offers a hybrid work schedule and requires this position to be on-site at USAT headquarters in Colorado Springs, CO at least 3 days per week (Tues-Thur with Mon and Frid remote option).
- Must be able to travel to board meetings, up to four times a year
- May require work some nights and weekends
- Other travel may be required, as needed
- While performing the duties of this job, the employee may be regularly required to stand, sit, talk, hear, reach, stoop, kneel, and use hands and fingers to operate a computer, telephone, and keyboard. May be required to exert force to manipulate or move items weighing up to 25 pounds.
