Ocean Export Coordinator at ONBOARD LOGISTICS USA INC – ELK GROVE VILLAGE, Illinois

Onboard Logistics is seeking a highly organized and detail-oriented Ocean & Air Export Coordinator to join our team in Chicago. The primary focus of this role is to manage and execute ocean export shipments, ensuring compliance, cost-effectiveness, and customer satisfaction. The ideal candidate will also provide backup support in air export operations, demonstrating flexibility and cross-functional capabilities in international freight forwarding.

Key Responsibilities:

Ocean Export (Primary Focus)

Manage day-to-day operations of ocean export shipments from booking to final delivery.

Coordinate with carriers, depots, and trucking companies for container movement and scheduling.

Verify freight rates against contracts and request payment when applicable.

Prepare and process shipping documentation in compliance with carrier, customer, and customs requirements.

Maintain clear communication with customers and overseas agents regarding shipment status, exceptions, and costs.

Monitor shipment KPIs and contribute to continuous improvement initiatives to optimize service and reduce costs.

Ensure timely invoicing and cost confirmation for accurate job management.

Track and resolve service failures, identifying root causes and proposing solutions.

Air Export (Support Role)

Assist in the preparation of MAWBs, HAWBs, TSA compliance, and export documentation.

Communicate pre-alerts, rates, and shipment updates to agents and clients.

Coordinate pickups and oversee the shipment process to ensure timely delivery.

Support rate negotiation and client quotation preparation.

Qualifications:

Education: High School Diploma or GED required; Bachelors Degree in Logistics or related field preferred.

Experience: 35 years in international freight forwarding (ocean export focus strongly preferred).

Certifications: Hazmat, IATA, or TDG certifications preferred.

Technical Skills: Proficiency in Microsoft Office and CargoWise highly desirable.

Strong organizational, problem-solving, and multitasking skills.

Excellent written and verbal communication, especially in cross-cultural settings.

Ability to manage pressure, prioritize tasks, and meet strict deadlines.

Knowledge of U.S. customs, AMS, TSA, and export regulations.

Work Environment & Physical Demands:

Primarily office-based with moderate noise levels.

Occasional lifting (up to 25 lbs), sitting for extended periods, and use of computer equipment.

Must be able to manage multiple tasks under mental pressure and deadlines.
