Job Summary:

The Employee Health and Wellness Ambassador provides exceptional customer service while serving as the primary point of contact for patient scheduling and inquiries. The role coordinates appointments for multiple healthcare providers, collects and verifies patient demographics and insurance, and guides individuals to available wellness resources. It also ensures clear communication, maintains documentation, and supports scheduling optimization in alignment with organizational priorities.

Responsibilities:

  • Provide exceptional customer service, organizational skills and demonstrates the ability to work in a fast-paced environment
  • Maintains positive attitude consisting of courtesy and professionalism
  • Coordinate schedules for multiple healthcare providers, ensuring timely patient appointments and effective resource allocation
  • Serve as the primary point of contact for incoming inquiries, from appointment scheduling to general questions
  • Collect all patient demographics, including verification of insurance information
  • Address preferences—such as provider gender or schedule limitations—by collaborating with practice management and modifying appointments, demonstrating empathy, and enhancing patient trust
  • Maintain, communicate, and guide patients to Health and Wellness by providing information about the Resources for Living Program (annual mammogram, prostate, gynecological screening)
  • Collaborate with practice managers to ensure alignment on scheduling priorities and resource need
  • Provide clear instructions on office location and time of appointment to ensure patients feel informed.
  • Document all phone calls immediately following the call
  • Analyze scheduling patterns and metrics to identify opportunities for optimization and present findings to leadership
  • Maintain compliance with healthcare regulations and organizational policies related to patient scheduling
  • Assist with all other duties as assigned
