Position Summary: This position’s primary responsibility is providing general administrative and clerical support to the St. Louis Region programs.
Working Conditions: Works in a typical office setting; St. Louis Region has 2 area offices and this position has the potential of working from both offices. Occasionally drives an automobile (own vehicle or agency vehicle) to conduct agency business; must have reliable transportation.
Essential Job Functions:
- Answers telephone in a professional manner and delivers clear messages to appropriate personnel, including telephone number, name of caller, time, date, and message. Greets visitors in a friendly and professional manner and helps them find their destination. Receives, sorts, and routes incoming mail. Receives and routes incoming faxes. Fax and copy correspondence and documents.
- Works in conjunction with the STL Region Administrative Support Specialist II to set up and maintain client case files, both physical and electronic files.
- Maintain access in multiple client databases (FACES, MAPP CSWIS, and PCHAS CSWIS). Assist new staff in completing paperwork for access to appropriate client databases, as needed.
- Troubleshoot and assist with problems involving office equipment, such as copiers, fax machines, and computers.
- Assist staff with travel and transportation scheduling, including reserving rental cars and hotel rooms, as necessary. Assist with maintaining agency vehicles, including coordinating routine maintenance (oil changes) and other service and repair, as needed.
High school diploma: vocational and/or some college work preferred. Prefer minimum of one (1) year prior experience performing similar job tasks. Upon employment, must pursue continuing education and/or in-service training required for this position. Notary public certification is preferred but not required.
Other Requirements: Must hold a valid driver’s license, have and maintain a risk-free driving record. Must be willing to undergo initial and periodic child abuse/neglect, criminal history, sexual offender, and childcare/elder care disqualification list screenings. As requested, must submit fingerprints for review by the state of your employment and Federal Bureau of Investigation (FBI). Must undergo a pre-employment drug screen and a pre-employment physical with the results showing no evidence of communicable disease.
