Location: Southwood Club

Position Status: Part-Time

Exempt Status: Nonexempt

Compensation Type: Hourly

Salary Range: $16.00 - $18.00

Hours per Week: 20 – 29

Position Summary:

Boys & Girls Clubs of Central Virginia provides after-school programs and summer camp to youth ages 5-18 years old. The Front Desk Staff is responsible for maintaining an inviting and warm environment for youth, staff, families, and community members. The Front Desk Staff answers all general inquiries, answers the phones, receives guests, maintains control of the entry, and conducts member check-in. This position reports to the Unit Director.

Position Description:

  • Warmly receive children and staff into the Club and facilitate the sign-in process.
  • Control access into the Club.
  • Establish a warm and inviting atmosphere in the Club and with those who call the Club.
  • Answer all phone calls and inquiries.
  • Assist the Unit Director with communication to members, families, community partners, volunteers, etc.
  • Support Club management with youth needs, including parent phone calls, first aid, behavioral support, etc.
  • Facilitate and manage the entire registration process for all members.
  • Maintain the waiting list and update the waiting list files weekly.
  • Complete all data entry for new members, maintain data for current members, and update the files and data tracking system as needed.
  • Ensure all member change forms are submitted, entered, and filed.
  • Communicate with parents/guardians regarding incomplete applications and the information needed to complete them.
  • Receive and process payments for membership, field trips, etc.
  • Print and review the New Member Report each month.
  • Review all files for accuracy (ongoing-missing data).
  • Maintain a clean, organized, and professional front desk and entry area.
  • File member files, reports, and all other information that is pertinent to the data tracking system.
  • Complete data entry for program attendance.
  • Manage and maintain all data related information, including the database, files, records and/or binders.
  • Communicate data needs during Club meetings.
  • Communicate and collaborate with Lead Program Coordinator and Teen Program Coordinator as needed.
  • Create and support opportunities, systems, and expectations that promote a human-centered organizational culture.
  • Perform other duties as assigned.

Knowledge, Skills and Abilities:

  • Basic knowledge of Microsoft Office programs including, but not limited to, Word, Excel, Outlook, and Access.
  • Basic knowledge of proper filing procedures
  • Ability to relate with children and parents/guardians
  • Experience working with children and knowledge of youth development
  • Strong organization, time management skills, and ability to prioritize
  • Strong work ethic, positive attitude, high level of energy and flexibility
  • Strong communication, interpersonal skills, and attention to detail
  • Ability to interact with the general public in a professional, courteous manner
  • Ability to motivate youth in a consistent and constructive manner, while maintaining a positive environment

Education and Certifications:

  • Must be 18 years or older
  • High School diploma or equivalent required

Physical Requirements and Work Conditions:

  • Close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading
  • Ability to be effective in an environment with varying levels of noise throughout the day
  • Ability to remain in a stationary position for up to 75% of the work day
  • Ability to operate a computer and other office equipment such as copier, printer, filing cabinets, etc.
  • Ability to engage in substantial repetitive motion from typing or writing, etc.
  • Light work: ability to lift and/or move 20 lbs on occasion
  • Ability to maintain both visual and auditory supervision of youth members
