Job Description

Unit Secretary

The unit secretary, as a department receptionist, prepares minutes, enters daily charges, organizes chart room and communications/disseminates information to appropriate personnel. The secretary is also responsible for pulling and filing records for all clinicians and physicians. She also covers all departmental reception areas, makes copies, and completes administrative tasks.

Essential Functions

  • Act as a receptionist and provide information as necessary utilizing proper telephone etiquette.
  • Communicate all pertinent information to appropriate personnel
  • Transcribe physician’s orders including initials and signature
  • Maintain patient medical record from admission through discharge and assists with procurement or disposition of medical record
  • Maintains patient admission and discharge log
  • Practices Universal Standard Precautions
  • Demonstrated knowledge of practices and department safety procedures, including safe handling of equipment and hazardous substances
  • Assists with the orientation of new personnel
  • Collects faxed reports and gives to RN or Case Manager as appropriate.
  • Assist with collection and collation of department statistics
  • Communicates to charge nurse/primary nurse when leaving floor
  • Understands role during emergency codes
  • Performs other duties as assigned in a positive manner that promotes teamwork and the best interest of the organization.

Minimum Education/Certifications
High School Diploma or equivalent

Minimum Work Experience
1 year of experience in psychiatry or substance abuse preferred

Position Type/Expected Hours of Work:

Non-exempt full-time regular business hours 37.5 work week and must be willing to work holidays, weekends and provide additional coverage as needed.

Working Conditions:

Exposed to unpleasant odors, and communicable diseases. Encounters, stress, and crisis, emergencies. Interacts with family, visitors, health team members and other hospital and referral agencies. The noise level in the work environment is usually quiet to moderate.
