This role is central to the end-to-end coordination of liability Independent Medical Examination (IME) operations, ensuring that medical file reviews, scheduling, and reporting processes are executed accurately and on time. You will manage incoming cases, validate documentation, and coordinate physician assignments while maintaining strict attention to jurisdictional and client-specific requirements. The position plays a key role in safeguarding quality and compliance by reviewing completed reports, resolving discrepancies, and ensuring all client questions are fully addressed. Working in a fast-paced, technology-driven environment, you will collaborate closely with physicians, clients, and internal teams to keep case workflows moving efficiently. Strong communication and organizational skills are essential as you balance multiple active cases simultaneously. This is a highly detail-oriented operations role with direct impact on service quality and client satisfaction.
In this role, you will oversee the full lifecycle of liability IME cases, from intake through final report delivery, ensuring accuracy, compliance, and timely execution across all operational steps.
- Intake and verify new cases, reviewing referral information and entering data into internal systems
- Identify missing or incomplete information and coordinate with clients to resolve gaps in case documentation
- Organize and prepare medical records, including document listings and special handling requirements when applicable
- Assign and schedule cases to appropriate physicians based on availability, jurisdiction, expertise, and conflict-of-interest rules
- Monitor case progress to ensure deadlines and turnaround times are consistently met
- Conduct detailed quality reviews of completed medical reports to confirm accuracy, completeness, and compliance with client requirements
- Communicate with physicians and clients to clarify report content, resolve issues, and provide case updates
- Format and finalize reports while ensuring adherence to QA standards and documentation protocols
This position requires strong operational discipline, healthcare or insurance exposure, and the ability to manage structured workflows in a high-volume environment.
- Associate’s or Bachelor’s degree preferred
- Experience in healthcare, insurance, or claims-related operations strongly preferred
- Prior exposure to technology-enabled workflow or case management systems
- Strong written and verbal communication skills with the ability to interact professionally with physicians and clients
- High attention to detail with strong proofreading and quality assurance abilities
- Excellent time management and ability to prioritize multiple active cases
- Comfortable working independently in a structured, deadline-driven environment
- Strong computer literacy and typing proficiency
- Critical thinking and problem-solving skills applied to operational workflows
