Position Summary
StationServ is seeking a proactive, action-oriented Compliance Dispatcher/CSR (Customer Service Representative) to provide administrative and dispatch support to the Compliance Services Service Manager. This role serves as the operational backbone of the branch – coordinating field technician schedules, optimizing service routes, and acting as the primary liaison between technicians and customers. The ideal candidate thrives in a fast-paced environment, takes initiative without waiting to be told, and delivers responsive, professional support to both internal teams and external customers.
Key Responsibilities
- Manage high-volume daily dispatch for a field team of 15+ compliance technicians, assigning and adjusting work orders in real time.
- Build and optimize technician routes and schedules to maximize field efficiency and minimize windshield time.
- Serve as the primary point of contact and liaison between field technicians and customers, ensuring clear and timely communication.
- Monitor and prioritize urgent customer emails and phone requests, escalating time-sensitive issues appropriately.
- Provide day-to-day administrative support to the Service Manager, including data entry, documentation, and reporting in Microsoft 365 (Word, Excel, Outlook, Teams).
- Proactively identify scheduling conflicts, service delays, or coverage gaps and resolve them before they impact customers.
- Maintain accurate dispatch, service, and compliance records in company systems, including Sage and Pass Tools.
- Communicate and coordinate with customers across multiple channels as needed to support service delivery.
- Adapt quickly to new systems, tools, and processes as the department grows and evolves.
- Foster a team-oriented, collaborative environment with technicians, branch staff, and customers.
- Model and promote StationServ's culture and core values in all interactions.
- Perform other duties as assigned.
Required Qualifications (Must-Have)
- Proven experience as a high-volume dispatcher, successfully managing schedules for 15+ field technicians.
- Demonstrated experience with route and logistics scheduling to optimize field operations.
- Proficiency in Microsoft 365, including Word, Excel, Outlook, and Teams.
- Ability to work in Sage, Pass Tools, and other customer-facing systems/channels.
- Strong customer service orientation with the ability to deliver clear, empathetic, and professional communication.
- Proven ability to work well under pressure in a fast-paced, deadline-driven environment.
- Self-starter who takes initiative and follows through on tasks with minimal supervision.
- Strong interpersonal skills with the ability to serve as an effective liaison between technicians and customers.
Preferred Qualifications
- Prior experience in the petroleum equipment, field service, trades industry, or similar industry.
- Experience with dispatch, scheduling, or CRM software.
- Familiarity with ADP Workforce or similar HRIS/workforce management platforms.
- Associate degree or equivalent combination of education and experience.
Work Environment & Physical Requirements
- Primarily office/branch-based role with extended periods of computer and phone use.
- Fast-paced environment requiring the ability to manage multiple priorities and interruptions simultaneously.
- Regular communication with field technicians and customers via phone, email, and radio/dispatch systems.
- Occasional local travel to branch or field locations as needed.
- Ability to sit or stand for extended periods and operate standard office equipment.
