Health and Wellness Clerk

Westover Job Corps Center

Position Summary

The Health and Wellness Clerk provides administrative and clerical support to the Health and Wellness Department. This position supports the delivery of efficient student health services by maintaining accurate records, coordinating appointments and transportation, assisting students with health-related documentation, and ensuring compliance with applicable privacy and safety requirements.

Essential Duties and Responsibilities
  • Maintain, organize, and file student medical records in accordance with applicable privacy requirements.

  • Answer telephone calls, schedule medical appointments, greet students, and coordinate student transportation needs.

  • Assist students with completing medical insurance forms and related documentation.

  • Monitor missed medical appointments and conduct appropriate follow-up.

  • Update missed appointments in the Center Information System (CIS).

  • Prepare purchase requisitions for medical supplies and vendor payments.

  • Enter CA-1 information into the Safety Health Information Management System (SHIMS).

  • Maintain an accurate log of students who are medically separated from the Center.

  • Open, sort, and distribute incoming correspondence, including faxes.

  • Maintain compliance with HIPAA rules and regulations and protect the confidentiality of student health information.

  • Support the Center's efforts to achieve its Organizational Management System (OMS) goals.

  • Adhere to and support the Center's Zero Tolerance Policy.

  • Promote a positive and professional work environment while demonstrating career success standards and organizational core values.

  • Perform other related duties as assigned to meet the ongoing needs of the organization.

Required Skills and Competencies
  • Knowledge of state and federal laws and regulations governing patient privacy and confidentiality, including HIPAA.

  • Effective written and verbal communication skills.

  • Strong documentation and recordkeeping skills with exceptional attention to detail.

  • Excellent time-management and organizational skills.

  • Strong customer service skills and the ability to manage multiple priorities.

  • Proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.

  • Ability to effectively operate standard office equipment.

  • Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.

Education
  • High school diploma or equivalent required.

Experience
  • Minimum of one year of secretarial or administrative experience required.

  • Medical office or healthcare administrative experience preferred.

Additional Requirements
  • Must possess a valid driver's license and maintain an acceptable driving record.

Physical Requirements

The position requires the ability to:

  • Sit, stand, move about, and walk for occasional or extended periods.

  • Use hands and fingers with sufficient dexterity to operate a computer keyboard and other office equipment.

  • Kneel, bend at the waist, stoop, and reach overhead.

  • Retrieve and store files and supplies.

  • Occasionally carry or lift light objects.

  • Campus and healthcare setting.
