Job Description

TITLE: PHYSICAL THERAPY PROGRAM COORDINATOR
DEPARTMENT: MEDICAL
SUPERVISED BY: DIRECTOR OF NURSING
CLASSIFICATION: FULL-TIME EXEMPT

POSITION SUMMARY: The Physical Therapy Program Coordinator is responsible for the administrative, operational, and programmatic oversight of the physical therapy program. This role supports the delivery of high-quality rehabilitative services by coordinating daily operations, optimizing workflows, ensuring regulatory compliance, and facilitating collaboration among providers, staff, patients, and external partners. The Program Coordinator serves as a key resource in advancing program goals, improving patient access, and supporting quality and performance initiatives.

ESSENTIAL JOB FUNCTIONS:
•Program Operations and Administration: Coordinate the day-to-day operations of the physical therapy program to ensure efficient, effective service delivery. Develop, implement, and maintain program workflows, policies, and procedures. Monitor program performance, patient access, and operational metrics; recommend and implement improvements. Support strategic planning, program development, and service expansion initiatives. Prepare reports, presentations, and other program-related documentation.

•Scheduling and Care Coordination: Oversee patient scheduling processes to optimize provider productivity and patient access. Coordinate referrals, authorizations, and communication with internal departments and external partners. Facilitate continuity of care by supporting interdisciplinary collaboration among clinical teams. Address scheduling issues, patient concerns, and operational barriers in a timely manner.

•Compliance and Quality Improvement: Ensure compliance with applicable federal, state, accreditation, and organizational standards. Assist with audits, regulatory surveys, and documentation reviews.

•Participate in quality improvement, patient safety, and risk management initiatives. Monitor adherence to clinical and administrative policies and recommend corrective actions as needed.

•Staff Support and Training: Provide administrative support to physical therapists and rehabilitation staff. Assist with onboarding, orientation, and ongoing training of program personnel. Support staff scheduling, timekeeping, and coordination of departmental meetings. Foster a collaborative, patient-centered, and service-oriented work environment.

•Financial and Resource Management: Monitor program budgets, supplies, and resource utilization. Assist with forecasting staffing, equipment, and operational needs. Support revenue cycle processes, including charge capture, authorization tracking, and reimbursement optimization. Identify opportunities for cost containment and operational efficiency.

•Other duties as assigned.

EDUCATION, EXPERIENCE, CERTIFICATIONS AND LICENSES:
•Bachelor's degree in Healthcare Administration, Business Administration, Physical Therapy, or a related field required. In lieu of a bachelor's degree, a minimum of five (5) years of progressively responsible experience in healthcare operations, rehabilitation services, or program coordination may be considered.

•Excellent interpersonal and communication skills, with the ability to interact effectively with patients, families, and healthcare professionals.

•Proficiency in electronic medical record systems and Microsoft Office Suite.

•Ability to prioritize tasks, manage time efficiently, and work independently as well as part of a team.

•Compassionate and empathetic approach to patient care, with a commitment to promoting patient safety and well-being.

PHYSICAL DEMANDS:
The physical demands described here are representative of those that must be met by an
employee to successfully perform the essential functions of this job. Sitting / Mobility: Approximately 70% of time is spent working at a desk. Balance of time (approximately 30%) is spent moving around work areas. Communication: Ability to effectively communicate with co-workers, Board members, members of outside agencies, in person, by telephone, and by email. Vision: Ability to effectively use a computer screen and interpret printed materials, memos, and other appropriate paperwork. Lifting / Carrying: Ability to occasionally lift and/or move objects weighing no more than 25 pounds. Stooping / Kneeling: Ability to access files/stock supplies in low cabinets and shelves. Reaching / Handling: Ability to input information into computer systems and retrieve and work with appropriate paperwork, equipment, and supplies. Use of standard office equipment, including computer, telephone, calculator, copiers, and fax. Work is performed in an office/clinic environment; continuous contact with other staff and the public.
