Description:

Carolina Digestive Health Associates is seeking a full time Medical Receptionist for its Pineville office to promote the efficient delivery of patient care services. The ideal candidate is a detail-oriented, reliable team player who serves as the first point of contact for patients and visitors and consistently provides a professional, welcoming experience.


Essential Duties

The successful candidate must be able to perform the essential duties satisfactorily, including:

  • Welcome and check in patients and vendors promptly upon arrival.
  • Collect, verify, and scan insurance cards, government-issued IDs, and required documents into the EHR.
  • Update and confirm patient demographics, insurance details, and other necessary information.
  • Obtain required signatures for forms, authorizations, and consents via iPad or paper as needed.
  • Ensure HIPAA consent and financial forms are completed and uploaded to the EMR.
  • Process patient payments, manage outstanding balances, and assist with payment arrangements.
  • Verify insurance eligibility and confirm appointments prior to visits.
  • Schedule follow-up appointments during checkout.
  • Provide patients with lab orders when applicable.
  • Reconcile petty cash and balance funds against reports.
  • Answer incoming calls according to established standards and assist with patient inquiries.
  • Prepare charts for upcoming appointments, including document scanning and pathology report filing.
  • Send portal invitations to all patients.
  • Distribute office visit recall notifications to patients.
  • Reschedule appointments as needed due to template or schedule changes.
  • Monitor and manage RightFax daily.
  • Participate in monthly TEAMS meetings, including at least one in-person meeting annually.
  • Respond promptly to TEAMS and email communications while on duty.
  • Travel to other clinic locations as directed by the supervisor.
  • Comply with HIPAA, OSHA, AAAHC, and infection control guidelines.
  • Prioritize patient safety and confidentiality at all times.
  • Maintain a clean, organized lobby and waiting area.
  • Follow all established safety protocols.
  • Perform additional duties as assigned.
Requirements:

Requirements

  • Experience working in a specialty practice is strongly preferred. Ability to multi-task in a fast-paced environment.
  • High school diploma or GED required.
  • Preferred: At least one year of experience in customer service, a medical office, administrative support, or a related field.
  • Strong communication and customer service skills.
  • Commitment to delivering high-quality service while supporting the organization’s mission and values.
  • Ability to multitask effectively in a fast-paced clinical environment.
  • Strong attention to detail and accuracy.
  • Proficient in Microsoft Office with the ability to quickly learn medical software systems.
  • Skilled in prioritizing tasks and managing multiple responsibilities simultaneously.
  • Demonstrates professionalism, teamwork, and dependability.
  • Maintains consistent punctuality and reliable attendance.
