Job Summary:
The Senior Wellness Ambassador provides experienced support for Employee Health and Wellness scheduling, patient communication, and related administrative workflows. This role serves as a senior peer resource to Wellness Ambassadors by assisting with day-to-day questions, helping resolve routine scheduling issues, supporting accurate documentation, and ensuring patients receive timely and professional assistance.
Responsibilities:
- Serve as a senior peer resource for Wellness Ambassadors by answering routine questions, sharing knowledge, and supporting consistent scheduling and customer service practices.
- Provide exceptional customer service while maintaining courtesy, professionalism, discretion, and a positive attitude in a fast-paced environment.
- Schedule appointments for multiple healthcare providers in accordance with established guidelines, patient needs, and provider availability.
- Assist with routine scheduling concerns, patient inquiries, appointment changes, and follow-up needs, escalating complex matters to the Lead Wellness Ambassador, practice management, or leadership as appropriate.
- Collect and verify patient demographic and insurance information to support accurate scheduling and documentation.
- Address patient preferences, schedule limitations, and special requests within established procedures and seek guidance when additional review is needed.
- Maintain general awareness of Employee Health and Wellness resources and guide patients to available programs, including annual screening initiatives such as mammogram, prostate, and gynecological screenings.
- Provide clear instructions regarding appointment date, time, location, preparation requirements, and other relevant information so patients are informed.
- Document phone calls, appointment changes, and patient interactions accurately and timely in accordance with established procedures.
- Identify recurring scheduling or workflow issues and bring them to the attention of the Employee Health and Wellness Ambassador or management for review.
- Follow organizational policies, confidentiality requirements, and established healthcare scheduling and documentation procedures.
- Assist with related administrative tasks and other duties as assigned within the scope of the Senior Wellness Ambassador role.
Qualifications/Requirements:
Experience:
Minimum of three years of customer service, healthcare scheduling, employee health, wellness program, or related administrative experience required; experience assisting peers, supporting workflows, or helping with training preferred.
Education:
Associate’s degree required; Bachelor’s degree preferred.
