Position Summary
The Closing Disclosure & Disclosure Analyst plays a key role in delivering an exceptional borrower experience by ensuring residential loan applications are accurate, complete, and compliant from the start. This position is responsible for reviewing new loan applications, preparing and delivering required initial disclosures, maintaining accurate loan data in Encompass, and ensuring files meet investor and regulatory requirements before moving forward in the mortgage process.
Success in this role requires strong attention to detail, sound judgment, excellent communication skills, and the ability to thrive in a fast-paced, deadline-driven environment. The ideal candidate enjoys solving problems, collaborating across departments, and maintaining a high standard of quality and compliance.
Essential Responsibilities
- Review new residential loan applications in Encompass for completeness, accuracy, and compliance with company, investor, and regulatory guidelines.
- Prepare, review, and deliver initial disclosures within required regulatory timeframes.
- Maintain accurate loan information and update the loan origination system throughout the disclosure process.
- Monitor Encompass pipeline alerts and respond promptly to assigned loans.
- Identify missing or incorrect documentation and communicate required corrections to Loan Originators and Account Executives.
- Review disclosure packages for completeness, accuracy, and proper tracking in accordance with company procedures.
- Ensure compliance with agency and investor guidelines, including FNMA, FHA, VA, USDA/FMHA, and applicable state housing programs.
- Understand investor-specific disclosure requirements and recognize issues that may impact loan eligibility.
- Monitor RESPA change reports and prepare revised disclosures when required.
- Escalate complex compliance or documentation issues when appropriate.
- Assist with loan processing responsibilities as needed to support operational workflow.
- Participate in cross-training opportunities and provide support to other departments when needed.
- Maintain strict confidentiality while handling borrower, company, and financial information.
- Maintain a professional, service-oriented approach in all internal and external communications.
- Participate in a rotating schedule to provide department coverage for the 10:00 a.m. – 7:00 p.m. shift.
- Perform additional duties and special projects as assigned.
Knowledge, Skills and Abilities
- Strong understanding of mortgage lending processes and regulatory disclosure requirements.
- Ability to read, interpret, and communicate complex loan and legal documentation clearly and accurately.
- Excellent organizational skills with exceptional attention to detail.
- Strong analytical and problem-solving abilities with sound decision-making skills.
- Ability to prioritize multiple tasks while consistently meeting deadlines.
- Comfortable learning new systems, processes, and technology.
- Self-motivated with a strong sense of accountability and ownership.
- Excellent written and verbal communication skills with the ability to collaborate across teams.
- Adaptable and able to perform effectively during periods of high volume and changing priorities.
Experience and Training
- High school diploma or equivalent required.
- Two or more years of mortgage lending experience preferred.
- Experience with Encompass Loan Origination System strongly preferred.
- Proficiency with Microsoft Office, including Word, Excel, and PowerPoint.
- Ability to complete and maintain all required company and industry training.
Physical Demands and Work Environment
Physical Demands:
- Mostly sedentary, however, while performing the duties of this job, the employee is occasionally required to walk; reach with hands and arms; stoop; talk and hear.
- Extensive reading and computer use is expected more than 50% of the time. Receiving and expressing detailed information verbally, in person and by telephone is essential. Must be able to verbally communicate effectively with others.
- Occasionally lift and/or move up to 15 pounds.
- Regular attendance is necessary and essential to this position.
