SaaS Systems Manager in at TUNNEL TO TOWERS FOUNDATION

The SaaS Systems Manager is responsible for the oversight, governance, optimization, and administration of the organization's Software-as-a-Service (SaaS) ecosystem. This role will utilize a SaaS management platform to identify, monitor, and manage both approved and unapproved applications being accessed by employees. The SaaS Systems Manager will lead software licensing, vendor management, platform evaluations, compliance efforts, and application lifecycle management to ensure the organization achieves maximum value, security, and operational efficiency from its technology investments. The ideal candidate is highly analytical, organized, and experienced with software administration, licensing, IT operations, vendor relations, and cloud-based business applications.

Essential Duties and Responsibilities

SaaS Management & Governance

• Administer the organization's SaaS Management Platform to maintain visibility into all managed and unmanaged software applications.
• Identify unauthorized, redundant, or underutilized applications and make recommendations for consolidation or removal.
• Develop and maintain an approved software catalog and software governance standards.
• Monitor SaaS application usage, adoption trends, and licensing compliance.
• Establish processes to evaluate and approve new software requests.

License & Subscription Management

• Manage the complete lifecycle of software licenses and subscriptions.
• Assign, modify, reclaim, and optimize user licenses.
• Conduct regular license audits to identify unused or underutilized subscriptions.
• Ensure software purchases and renewals align with business requirements and budget objectives.
• Track renewals, contract expiration dates, and vendor commitments.

Software Evaluation & Procurement

• Research, evaluate, and recommend new software solutions to meet business needs.
• Perform platform comparisons, proof-of-concept testing, and vendor evaluations.
• Collaborate with department leaders to understand operational requirements and technology gaps.
• Prepare business cases, cost-benefit analyses, and implementation recommendations for leadership review.

Security & Compliance

• Partner with IT Security to identify and mitigate risks associated with unauthorized or unapproved applications.
• Ensure SaaS applications comply with organizational security standards and data protection requirements.
• Assist with user access reviews, entitlement audits, and application access governance initiatives.
• Support audits and compliance reviews related to software licensing and application usage.

Process Improvement & Reporting

• Develop dashboards and reports related to software utilization, licensing costs, renewals, and application inventory.
• Identify cost savings opportunities through license optimization and platform consolidation.
• Create and maintain policies, procedures, and documentation related to SaaS governance.
• Provide regular executive-level reporting on software spend, application usage, and optimization opportunities.

User & Department Support

• Work closely with department leaders to ensure employees have access to appropriate software tools.
• Support onboarding and offboarding processes related to software provisioning and deprovisioning.
• Assist in troubleshooting application access and licensing issues.
• Provide guidance on software best practices and application adoption.

• Bachelor's degree in Information Technology, Business Administration, Information Systems, or related field, or equivalent experience.
• 3-5 years of experience in SaaS administration, software asset management, IT systems administration, procurement, or related roles.
• Experience managing software licensing and subscription-based platforms.
• Strong understanding of cloud applications and SaaS environments.
• Experience working with vendors, contracts, and software renewals.
• Strong analytical and reporting skills.
• Excellent communication and organizational abilities.

Preferred

• Experience with SaaS Management Platforms such as BetterCloud, Zluri, Zylo, Torii, Productiv, Lumos, or similar solutions.
• Experience administering Microsoft 365, Salesforce, Adobe, Zendesk, HR systems, or other enterprise SaaS platforms.
• Knowledge of software asset management (SAM) practices.
• Familiarity with identity providers such as Microsoft Entra.
• Experience with onboarding/offboarding automation workflows.
