About the role
This is a full-time role at our Kingswood practice. You'll be a face of Unbound Minds - the first voice our clients hear and the person who keeps the practice running precisely behind the scenes, working alongside our Senior Client Care Coordinator.
You'll manage the client journey end to end: bookings, intake, referrals, Medicare and NDIS billing, payments, and the daily rhythms that keep our clinicians free to do clinical work. This is a role for someone who loves helping people doing it tough - and who also gets quiet satisfaction from a clean end-of-day reconciliation and a client file with nothing missing.
Responsibilities
- Welcoming clients in person and by phone with warmth, enthusiasm and compassion
- Processing Medicare, NDIS and private billing accurately - checking referrals, care plans and entitlements before claims are made, every time
- Running our pre-payment and end-of-day payment processes
- Maintaining complete, accurate records of every client contact and transaction
- Managing bookings, confirmations, intake forms and referrer correspondence
- Triaging client enquiries and matching them with the right psychologist
- General administrative duties and keeping our beautiful practice warm and inviting
What you'll need
- 2–3+ years' experience in medical or allied health administration or hands-on Medicare claiming experience highly regarded
- Genuine attention to detail: you check the file before you act, and you'd rather ask than assume
- Comfort with structured processes and accountability - we audit our billing and we're proud of it
- High emotional intelligence and warmth under pressure
- Excellent written and verbal communication, and a professional phone manner
- Experience with practice management software (we'll train you on ours)
