Patient Service Representative – Oasis

About the Position
Women’s Specialists of New Mexico (WSNM) is seeking a friendly, professional, and dependable Patient Service Representative (PSR) to join our Oasis team.
The Oasis PSR is often the first and last point of contact for our patients and plays an important role in creating a welcoming, efficient, and positive experience. This position supports patient check-in and checkout, scheduling, payments, retail transactions, and the daily front-office operations of Oasis.
Key Responsibilities
- Welcome patients and provide professional, compassionate customer service throughout their visit.
- Complete patient check-in and checkout accurately and efficiently.
- Answer phones, assist with scheduling, and respond to patient needs.
- Maintain accurate demographic and insurance information and follow up on system alerts.
- Verify insurance and collect/post copays, balances, and other patient payments.
- Process retail, skincare, and supplement sales and utilize applicable Rewards Programs.
- Balance daily collections and close batches accurately.
- Monitor email and voicemail and assist with incoming mail.
- Maintain a clean, organized, and welcoming reception and waiting area.
- Assist with opening and closing procedures, including preparing equipment and patient areas as assigned.
- Prepare superbills for Oasis and Weight Management providers as needed.
- Maintain knowledge of Oasis skincare products, procedures, and services to appropriately assist patients.
- Assist with monthly product inventory, incoming orders, electronic inventory updates, laundry, and room stocking.
- Protect patient confidentiality and follow HIPAA requirements.
- Communicate effectively and work collaboratively with Oasis and WSNM team members.
- Assist with medical emergencies as needed and appropriate to the position.
- Participate in cross-training and perform other duties as assigned.
Qualifications
- High school diploma or GED required.
- Minimum of one year of medical spa or similar receptionist experience preferred.
- Strong customer service, communication, and interpersonal skills.
- Basic knowledge of medical and aesthetic terminology.
- Strong computer skills and ability to learn practice management systems.
- Ability to multitask, stay organized, and work effectively in a fast-paced environment.
- Professional appearance and commitment to maintaining patient confidentiality.
Schedule Expectations
Candidates must have flexibility to support Oasis operations, including occasional evening events and approximately one to two Saturdays per month.
Physical Requirements
- Ability to sit and stand for extended periods.
- Ability to lift at least 20 pounds.
- Hearing, speaking, and visual acuity necessary to perform job responsibilities.
- Ability to use a computer, telephone, copier, and other standard office equipment.
